Process Enablement Specialist
3 days in office, based in Irvine
Role Overview
We are seeking an experienced and proactive Process Enablement Specialist to make our engineering processes and tools easy to find, easy to understand, and easy to follow. This role owns the practical side of process adoption: keeping our Confluence process documentation clean and well structured, running audits that show how processes are really used, managing the business change that comes with new or updated processes and tools, and planning the training that equips engineering teams to work in the new way.
You will work closely with process owners, project managers, and engineering leads to turn process designs into daily practice. The goal is fewer gaps between the process as documented and the process as performed, with minimal resistance and maximum engagement along the way.
Most Important Skills and Responsibilities
" Own the structure, quality, and upkeep of process documentation in Confluence, including cleanup of outdated, duplicated, and orphaned pages.
" Plan and run process audits, report findings, and drive corrective actions to closure.
" Develop and implement business change management strategies and communication plans for process and tool rollouts.
" Plan, schedule, and coordinate training so users are ready before changes go live.
Key Responsibilities
Confluence Cleanup and Structure
" Define and maintain a consistent page hierarchy, naming convention, and templates for process documentation spaces.
" Run regular content reviews to find and archive outdated, duplicated, or orphaned pages, and fix broken links and labels.
" Keep pages light and high level, pushing detail to the referenced source pages so there is one source of truth per topic.
" Set page ownership and review dates, and make sure every process page has a named owner.
" Improve navigation and search (labels, landing pages, page properties, cross-links) so users find the right process in a few clicks.
Process Enablement and Audits
" Work with process owners to translate process designs into usable guidance, such as quick references, checklists, and one-pagers.
" Plan and run process audits, including mock audits, to check that documented processes match actual practice.
" Document findings, track corrective actions with owners and due dates, and report status to leadership until closure.
" Identify recurring gaps and friction points across teams and feed them back to process owners as improvement input.
" Support teams during and after adoption by answering questions and collecting feedback.
Business Change Management
" Develop and implement change management strategies and plans for key process and tool deployment projects.
" Conduct impact analyses, assess change readiness, and identify key stakeholders and user groups.
" Develop and execute targeted communication plans so stakeholders know what is changing, why, and what is expected of them.
" Create clear communication materials (for example Confluence pages and newsletters) tailored to different audiences.
" Identify and manage anticipated resistance, and define and track success metrics for each change initiative.
Training Scheduling and Planning
" Build and maintain a training calendar aligned with rollout and project milestones.
" Develop training strategies with process owners and training partners, choosing the right format for each audience (live sessions, recordings, quick guides, office hours).
" Schedule sessions, manage invitations and logistics, and track attendance and completion.
" Collect feedback and assess training effectiveness, then adjust content and timing.
" Keep training materials current as processes and tools change.
Project Timings and Continuous Improvement
" Work with process owners and project managers to set realistic timelines for design, testing, communication, training, and rollout phases.
" Track and report progress of enablement and change activities against project milestones, and flag risks and delays early.
" Evaluate the effectiveness of enablement, change, and audit activities after implementation.
" Capture lessons learned and contribute to continuous improvement of our change management and process enablement practices.
Required Qualifications
" Bachelor's degree in Business Administration, Organizational Psychology, Communications, Human Resources, Engineering, or a related field.
" 3-5+ years of experience in process enablement, change management, quality management, or a similar role supporting technology, process, or organizational change.
" Proven experience developing and executing change management plans, including communications, stakeholder engagement, and training support.
" Hands-on experience structuring and maintaining documentation in Confluence or a comparable wiki.
" Experience planning or supporting process audits and tracking corrective actions to closure.
" Excellent written, verbal, and presentation skills, with the ability to explain complex processes simply to different audiences.
" Ability to influence others and move toward a common vision or goal.
" Experience working with cross-functional teams in a fast-paced, dynamic environment.
" Strong organizational and project management skills, with the ability to manage multiple projects simultaneously.
" Proficiency in Confluence, Jira, and the Google Workspace suite.
Preferred Qualifications
" Experience in an engineering or automotive environment, or with quality and process frameworks (for example ISO-based management systems).
" Change management certification (for example Prosci) or training and facilitation experience.
