Position Summary:
The Program Data Clerk provides essential operational and administrative support for a high-volume, high-priority client program within Knowledge & Innovation Premium Services. This role is responsible for accurate and timely data entry, systematic file and document management, and a range of administrative tasks that keep a complex, fast-moving program running smoothly. The ideal candidate is organized, dependable, and comfortable working across multiple systems with minimal supervision.
Essential Functions:
Data Entry & Records Management
- Entering, updating, and maintaining data accurately across program systems, including Smartsheet, iManage, and SharePoint, ensuring records are current and consistent.
- Reviewing data for completeness, flagging discrepancies, and coordinating corrections with team members to preserve data integrity.
- Organizing and categorizing data to support efficient retrieval by attorneys, program staff, and other stakeholders.
- Generating basic reports and data exports as requested to support program operations and reporting needs.
File & Document Management
- Creating, maintaining, and organizing matter and program file structures in iManage and SharePoint in accordance with established naming conventions and protocols.
- Uploading, indexing, and filing documents accurately to ensure proper version control and accessibility.
- Assisting with document retrieval requests and supporting audits of file organization as needed.
- Identifying and escalating filing issues or structural inconsistencies to the appropriate team lead.
General Administrative Support
- Providing day-to-day administrative assistance to the Premium Services team in support of client program operations.
- Communicating with internal team members to gather information, confirm data requirements, and coordinate routine tasks.
- Tracking task status and deadlines in Smartsheet or other program management tools as directed.
- Other duties as assigned.
Requirements:
- 1+ year of experience in data entry, document management, or administrative support; law firm or legal services experience a plus.
- Proficiency with Microsoft 365, including SharePoint; experience with Smartsheet or iManage preferred.
- Typing speed of at least 50 words per minute with a high degree of accuracy.
- Strong attention to detail with the ability to identify errors, inconsistencies, or missing information in data sets.
- Familiarity with document management best practices and file naming conventions.
- Ability to manage competing priorities and meet deadlines in a high-volume environment.
- Collaborative communication style and comfort working within a close-knit, service-oriented team.
- Familiarity with data privacy standards and backup procedures, especially when handling sensitive or proprietary information.
- Strong organizational skills for managing multiple data sets, spreadsheets, or entry queues.
- Strong written communication skills, especially when working with internal teams.
- Basic customer service skills, particularly when responding to data requests or updating client records.
Wage Transparency:
The pay range for this remote position varies by location. Pursuant to the applicable state and local regulations the pay range for each location is listed below. Actual compensation is contingent on relevant experience, education, skills, and other job-related factors as permitted by law. This role is also eligible for performance-based bonuses and the benefits described below. The application deadline for this position is 12/31/2026.
