    Global Grants & Academic Programs (GAP) supports international education initiatives that connect Omaha to the world through academic programs, grant-funded exchanges, and customized training opportunities. The unit manages the Intensive English Program (IEP), Custom Programs, Summer Institutes, and externally funded Grants, including programs sponsored by the U.S. Department of State. These programs foster cross-cultural exchange, professional development, and academic success for participants from around the globe. The Program Coordinator plays a central role in supporting the planning, coordination, and implementation of these programs. This position is responsible for managing communications, logistics, participant support, and administrative processes across multiple program areas. The coordinator serves as a key point of contact for students, participants, partners, and campus stakeholders, ensuring programs are delivered efficiently and with a high level of professionalism. A strong coordinator is an organized project manager, proactive communicator, and adaptable problem solver who can manage multiple priorities simultaneously. This role requires attention to detail, strong customer service skills, and the ability to work both independently and collaboratively. The coordinator contributes to program success through effective communication strategies, logistical coordination, and ongoing support for participants and partners. The position supports program lifecycle activities including recruitment, admissions, pre-arrival communication, program delivery, and post-program evaluation. The coordinator also assists with financial tracking, reporting, and maintaining accurate program records. This role has a direct impact on participant experience, program quality, and the reputation of International Programs. This position will participate in International Programs initiatives and represent the GAP unit in interactions with campus and external partners.

    Job Duties

    Responsibility Area: Project Management and Administrative Affairs Duties:

    Provide program coordination and participant support across Intensive English Program (IEP), Custom Programs, and grant-funded initiatives:

    • Serve as a primary point of contact for prospective and current participants
    • Manage communication via email, CRM systems (e.g., Salesforce), and other platforms
    • Support admissions tracking, enrollment updates, and participant data management
    • Assist with planning and implementation of orientations, student activities, and events

    Provide ongoing support to participants throughout program duration

    Coordinate logistics for Custom Programs, Summer Institutes, and Grants:

    • Arrange housing, transportation, site visits, and program activities
    • Book classrooms, meeting spaces, and campus resources
    • Develop program schedules, calendars, and materials
    • Support on-site program delivery, including accompanying participants and facilitating activities
    • Coordinate purchasing of supplies and track related expenses

    Support grant-funded programs and administrative operations:

    • Assist with project management of assigned grants
    • Track expenses, process receipts, and support budget monitoring and reporting
    • Maintain program records and prepare reports for internal and external stakeholders
    • Provide technical and administrative support to staff, partners, and participants

    Develop and manage communications and outreach efforts:

    • Support recruitment campaigns through social media, webinars, and email communications
    • Assist in creating newsletters, promotional materials, and program updates
    • Coordinate communication strategies for prospective students and partners
    • Contribute to maintaining accurate and updated program information across platforms

    Support program evaluation, engagement, and continuous improvement:

    • Organize participant surveys and collect feedback
    • Assist with reporting outcomes and program impact
    • Participate in team meetings and contribute updates, agenda items, and process improvements
    • Maintain organized task tracking for weekly, monthly, and annual responsibilities

    Required and Preferred Qualifications

    Required Education

    Bachelor's degree from four-year college or university in a related field.

    Required Experience

    Minimum of two years of office coordination, administrative support or customer service experience. Strong Microsoft Office skills, including the ability to create and use Excel tables for basic data tracking, sorting, and basic formulas.

    Preferred Education

    Degree or training in Communications, Business, English, TESOL, international studies or other relevant training or work experience

    Preferred Experience

    Prior experience as a program or project coordinator or work with a grant-funded project. International travel and living experience. Cross-cultural competency and strong problem-solving skills. Experience in financial management, including grants, budgeting, reconciliation, tracking expenses and reporting.

    Preferred Additional Qualifications:

    Some prior experience in an international setting, study abroad, working with immigrant or international communities, foreign language, or intercultural communications. Prior experience working in an educational setting a plus. Excellent verbal and written skills. Experience with video editing, digital marketing or digital communications, or project planning would be an asset but are not required.
