SUPERVISORY AUTHORITY:
Has responsibility or authority which is limited to the direction of student or temporary workers
NATURE AND SCOPE:
Internal contacts generally include administrators, faculty, students and staff. External contacts generally include vendors, consultants, preceptors, visitors and the public.
PRINCIPAL ACCOUNTABILITIES:
Annual coordination of IPPE and APPE student site matching / placement process
Update preceptor availability
Manage cancellations
Ensure adequate listing of preceptor and sites
Coordination of preceptor engagement activities including but not limited to preceptor appreciation and advisory board
Oversee the workflow of the experiential office. Implement office procedures and practices. Perform directives from supervisor to coordinate administrative procedures within department and/or among other offices.
Create and manage office filing systems. Responsible for filing correspondence and other items accordingly.
Maintain proficient training and utilization of all software utilized within the experiential program
Help establish policies and procedures for all activities
Maintain bookkeeping records of revenues and expenditures for experiential department. Prepare requests for travel authorizations, services request, etc. Check records, meet with staff and resolve any differences with accounting.
Process paper work for the payment of sites in a timely fashion
Coordinate logistics of all experiential office events and meetings including travel and lodging arrangements, agendas, information packets, parking, amenities etc. and provide on-site guidance to visitors and guests for university related events.
Maintain an update all program manuals
Participate on the Ad-hoc International Committee for the College of Pharmacy and Curriculum Committee for the College of Pharmacy.
Manage domestic (in-person/online pathway) and international affiliation agreement process from inception to execution with Sites, General Counsel, Risk Management, Procurement and Accounts Payable.
Laison between Experiential site affiliates for requisitions and purchase orders with Procurement and Accounts Payable departments.
Negotiate payment terms within the affiliation agreements to maximize the budget for the fiscal year.
Academic Advising/Mentoring students
Manage student and preceptor requirements
Interview new employees
Train new employees
Laison between Experiential Programs and Core Elms for scheduling student rotations.
Perform other job-related duties as assigned.
CORE COMPETENCIES:
MINIMUM REQUIREMENTS:
Bachelor's degree in business or administration and 3-6 years of experience. 11 years of related work experience may be substituted in lieu of educational qualifications.
