Position Description

Advertised Job Summary

The Program Coordinator is under the limited supervision of the Program Manager and serves as the lead coordinator for patient support and front-end administrative operations within the Brain Health Network. The position exists to guide daily workflow execution, reinforce operational standards, and support staff performance to ensure efficient, accurate, and compliant patient services. The primary goal of the role is to coordinate referral, scheduling, and intake processes while providing first-line leadership and operational guidance within established program policies and procedures. To demonstrate commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations.

Job Related Minimum Required Education and Experience

  • Requires a bachelor's degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials Preferred Qualifications

  • Advanced proficiency with Epic or similar EMR systems
  • Working knowledge of patient registration, insurance verification, referrals, and authorization processes
  • Familiarity with HIPAA requirements and medical records management standards
  • Prior experience leading or supporting patient support services, front desk, or administrative healthcare teams
  • At lease 1 year experience in a led, supervisory or training role

Patient Support Team Leadership

Provides day-to-day work direction and functional oversight to Patient Support Specialists and administrative staff. Assigns tasks, coordinates coverage schedules, facilitates team huddles, monitors workload distribution, and provides coaching and feedback to support workflow consistency and staff development. Contributes performance input to the Program Manager as requested.

Coordinates daily referral management, scheduling workflows, patient intake processes, and service documentation to ensure timely and accurate service delivery. Monitors workflow efficiency, identifies operational issues, and implements approved process adjustments to maintain service standards and compliance.

System Administration & Training Support

Supports use and maintenance of the electronic health record system and related scheduling platforms. Assists with template updates, scheduling builds, and workflow documentation. Trains new staff on system navigation, patient support procedures, and established operating standards.
