Job Summary and Qualifications JOB TITLE - Program Assistant GENERAL SUMMARY OF DUTIES: The Program Assistant is responsible for assisting Travel Recruiters, Program Managers, and department management with their job requirements. Responsibilities include but are not limited to communicating effectively with all involved personnel, and providing timely follow up for needs and issues as necessary. SUPERVISOR - Program Assistant Supervisor SUPERVISES - None ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO: · Maintains open communication with Travel Recruiters, Program Managers, Director of Recruitment and Director of Travel Operations in an effort to meet special needs and address problems or concerns. Responses to supervisors and co-workers request for information and assistance in a timely manner. Receives and screens travelers, client facilities and vendor partners' inquiries. Forwards inquiries or complaints to the appropriate individual for resolution and follows up in a timely manner to ensure issue was resolved satisfactorily.Answers the telephone; provides courteous, effective assistance to callers; takes and relays accurate, timely messages.Checks the "Recruiter Line" on a daily basis and forwards the messages accordingly. Supports Recruitment in tracking Nurse Competency Testing and Checklists, applications and system updates.Manages all leads received from "Applicant Tracking Systems" as well as interdepartmental/intercompany referral leads (i.e. account managers, local offices etc.).Interacts with all team members to constantly improve the submission turnaround time with client.Assists in screening vendor candidate submissions and inputs/updates information in appropriate databases in a timely manner.Assists in obtaining all travel needs and inputs information into the Travel Module.Processes travel vendor confirmations in StaffRx for appropriate booking of assignment. Process vendor candidates for eSAF. Immediately communicates all issues related to the quality of care rendered by travel staff to the appropriate Hospital Account Manager.Assist in providing client facilities and vendor partners with required documents and information for travelers currently on assignment and future starts.Provides coverage for and supports Travel Administrative Assistant as necessary.Other duties as assigned. KNOWLEDGE, SKILLS, & ABILITIES - This position requires the following minimal requirements: Excellent oral and written communication skillsExcellent organizational skillsAbility to multi-task, and handle multiple priorities Ability to provide a high level of customer serviceAbility to work well independently and within a team environment Maintains working area and equipment in accordance with environmental and safety regulationMust have knowledge of Microsoft Office such as Outlook, Word and Excel EDUCATION -High School Diploma or GED Equivalent required EXPERIENCE - At least 1-3 years clerical experience CERTIFICATE/LICENSE - None PHYSICAL DEMANDS/WORKING CONDITIONS - Exert up to 20 lbs force occasionally and/or up to 10 lbs frequentlyRequires prolonged sitting and some bending, stooping, and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment.Requires the perceiving the nature of sounds at normal speaking levels with or without correction; ability to receive detailed information through oral communication, and to make the discriminations in sound.Requires normal range eyesight to record, prepare, and communicate appropriate reports. Requires dexterity to type.Work is performed in an office environment and involves frequent contact with staff and the public.
