Program Assistant (PAS)
ProSidian Consulting is looking for a Program Assistant (PAS) in Mid Atlantic Washington Metropolitan Area (Northern Virginia | Washington DC | Maryland) to support an engagement for an independent agency of the United States Federal Govt. that is primarily responsible for administering civilian foreign aid and development assistance. ProSidian Team Members work to provide technical, management and program support services and deliverables supporting an international Economic Growth, Education and Environment (E3) Local Sustainability Institutional Support Contract (LS-ISC). Under this contract, The ProSidian Engagement Team provides staffing, institutional, operational, technical, and administrative support to "E3/LS" present and future programs, including long-term technical assistance (LTTA) and short-term technical assistance (STTA). ProSidian must provide these services in support of the E3/LS vision, development objective, and three Practice Areas (locally-led development | volunteerism | cooperative development).
Program Assistant (PAS) Candidates shall work to support requirements for PR0005 Program Support and responsible for assisting the Front Office with daily tasks; drafting memos and other written communications, organizing and coordinating both internal and external meetings, supporting ProSidian Engagement Teams and stakeholders of the Foreign Aid and Development Assistance Agency, as well as other activities. The PAS provides support to Foreign Aid and Development Assistance Engagement Team Members and Client/Stakeholder leaders, performing a variety of both analytical and administrative duties.
These duties range from administrative-type tasks such as scheduling briefings and meetings and maintaining program files, to more complex analytical-type tasks such as collecting, compiling, and analyzing data for various program documents, and designing and maintaining spreadsheets in support of financial tracking systems. The PAS works closely with the ProSidian Front Office Team and supports ProSidian Engagement Team Leaders on technical and various Functional Area (FA) Management issues. The PAS also works with other members across the entire Office to assist in areas such as reorganization, portfolio review, overall administrative support and other duties.
The PAS ranks tasks in order of importance and impending deadlines, and handles several tasks simultaneously. The individual must develop a working knowledge of Foreign Aid And Development Assistance Agency policies and guidelines, as well as corporate practices and procedures. The individual is expected to become familiar with Office/division technical issues, policies, and workforce. - Analyze available technologies and encourage innovative use of technology to create efficient workflow by leading training sessions for Google applications and other emerging technologies at appropriate levels for various audiences.
- Collaborate with technical staff in the preparation of various program documents and correspondence, ensuring that all documentation is complete and in compliance with Foreign Aid And Development Assistance Agency regulations.
- Collect, compile, and analyze data for use in regular and ad hoc reporting on the status of programs from various sources such as cooperating agency reports, Agency reports and documents, and technical staff.
- Communicate, coordinate, and perform outreach with teams inside/outside the Agency.
- Coordinate large-scale meetings for a variety of stakeholders, USG partners and implementing partners, and ensure necessary follow-up is carried out.
- Coordinate with other Agency bureaus when task require a collaborative response.
- Create communications documents for internal and external audiences as needed.
- Draft meeting notes, correspondence, recommendations, reports, and memoranda.
- Draft program communications such as notes, cables, guidance, memoranda, emails, and letters that seek approval or request information relative to program matters.
- Ensure that schedules and deadlines are met and proactively identify logistical and management solutions to ensure smooth Front Office program decisions.
- Gather information and documents for program activity planning, implementation, monitoring and evaluation from other offices and Missions, State Department, and external partners.
- Manage and advise travel procedures for staff including travel requirements: e.g. clearances, country travel concurrences, and voucher preparations.
- Oversee the preparation and distribution of minutes/notes from bi-weekly staff meeting as completed on a rotating schedule
- Plan and prepare meetings and events.
- Provide and compile technical feedback on draft documents and strategies while staying up-to-date on the latest Foreign Aid And Development Assistance Agency strategies and policy documents.
- Serve as POC and logistics lead during Portfolio Reviews by interpreting and outlining deliverables requested
- Support Senior Leadership in developing strategic priorities and processes.
- Track and maintain TDY trip report data, compiling quarterly compliance reports and sharing data and analysis as needed.
