Description

We seek applicants for a full-time position to assist with day-to-day processes and operations of the Foundation and Community Partnerships, with a focus on supporting functions related to donations, donor information, alumni, and external rentals. This role serves as support for the HCC Foundation Board of Directors and the College's Community Partnerships and Guest Services staff.

General responsibilities include, but are not limited to:

  • Serve as support for the HCC Foundation Board of Directors and committees, scheduling meetings, communicating with committee chairs, and preparing information for directors and their meetings. Assist with updating the HCC Foundation Board Policy Manual.
  • Prepare purchase requisitions, Foundation event financial reports, and procurement card statements for both the Community Partnerships and Foundation departments.
  • Assist in the planning and implementation of Community Partnership events, including but not limited to Breakfast at Heartland, Elevate Heartland, Service Day, and Commencement. Also provide support during Foundation events, and other assistance as appropriate.
  • Assist in welcoming and providing support to external rental guests, as needed. In addition, assist with event follow-up and invoicing.
  • Assist with Alumni outreach and correspondence as directed by the supervisor.
  • Maintain the front office, as well as the supplies for the Community Partnerships and Foundation.
  • Assist with special projects as assigned, including those requiring evening and/or weekend hours.
  • Assist with updating the website for the Community Partnerships and Foundation.
  • Protect the confidentiality of sensitive information, including all records and conversations related to students and donors.

Requirements

  • Associate degree or appropriate experience/education.
  • Excellent written, verbal, and interpersonal communication skills.
  • Experience in successfully organizing and managing the details of multiple diverse tasks simultaneously.
  • Familiarity with Microsoft Office programs, such as Word, Excel, and Outlook.
  • Demonstrated ability to problem-solve, take initiative, and work independently.
  • Ability to work effectively and inclusively within a diverse campus community, including with donors, Board members, employees, and other community members.
  • Availability to work occasional evenings and weekend hours for special events.

Desired Qualifications

  • Familiarity with Raisers Edge fundraising software.
  • Familiarity with 25Live software.
  • Familiarity with LiveAlumni software.
  • Experience with event planning.
  • Experience working with a non-profit board.

EMPLOYEE LEAVE

Vacation: 20 days (160 hours) per year with a maximum annual carry-over of 40 days (320 hours); Accrual of 6.16 hours will be granted on the last day of each pay period

Sick Leave: 12 days (96 hours) per year with unlimited annual carry-over; 12 days (96 hours) granted on start date; Beginning on the first anniversary, accrual of 3.70 hours will be granted on the last day of each pay period

Volunteer Leave: 1 day (8 hours) per year with no annual carry-over; 8 hours granted on start date, then annually granted on January 1

Special Leave: Available by approval for bereavement, emergencies, and legal requirements

Parental Leave: 4 weeks (160 hours) for qualifying events, once per 12-month rolling period

Holidays: 12 designated paid holidays, plus 3 paid Floating Holidays (24 hours); Floating Holidays granted on start date, then annually granted on the anniversary date. HCC is closed from Christmas Eve Day through New Year's Day generally resulting in additional paid days. The College is closed on Election Day (Presidential Election years only)
