The Position

The Program and Grants Associate will primarily support the team that is responsible for advancing research and clinical uptake of metabolic psychiatry. Nearly half of the role's capacity will be allocated to general grants administration support on the Operations team. Key responsibilities include project management, operational and systems support to the Clinical team, and managing the external-facing Community of Practice (CoP) online portal in Salesforce. The Program and Grants Associate will administer grants and provide a high level of excellence in data management.  This full-time, non-exempt position reports to the Head of Clinical Strategy & Partnerships and works closely with the Grants Manager.

Responsibilities

Online Clinician & Researcher Portal Operations

• Support user troubleshooting and manage inquiries to the portal inbox as needed.
• Execute communications to the communities, including exercising judgment when responding to external parties. 
• Surface trends seen in general portal and private community groups (e.g. Community of Practice group, research group, etc).
• Manage membership, including but not limited to verifying eligibility where needed (e.g., licensure for CoP) both upon initial enrollment and re-verification.
• Moderate online communities, including reviewing new post submissions and flagged posts.
• Manage virtual event logistics, including scheduling, platform setup, speaker coordination and live event support.
• Draft written materials, training documents or other materials as needed.
• Undertake special projects and additional tasks as assigned or initiated.

Grants Management

• Ensure compliance of Foundation’s grantmaking and contracting policies, procedures, and deadlines.
• Track and oversee grant lifecycle, deadlines, scheduled payments, reporting requirements, and post-award communication.
• Coordinate with Grants Manager, program and other colleagues to ensure grantmaking activities are smoothly executed.
• Manage inquiries to the grants management inbox, triaging correspondence, providing technical support and communicating with grantees to ensure deadlines and grantmaking protocols are met.
• Maintain grants management system data integrity including auditing records, pulling reports, and performing routine maintenance and technical support for internal staff.
• In collaboration with Grants Manager, assist with developing and maintaining grant process documentation, onboarding, and training materials.
• Compile annual grant-related reports for Board meetings, tax filings, and financial audits.
• Oversee Google Drive file structures to guarantee data integrity, audit readiness, and seamless tracking.
• Attend key meetings and assist to prioritize, plan, and follow-up on action items.
• Undertake special projects as assigned or initiated.

Qualifications

• Bachelor’s degree or equivalent experience and at least two years of related experience
• Strong interest in philanthropy and/or nonprofit sector as evidenced through education, previous jobs and/or volunteer experience
• Meticulous attention to detail
• Exceptional project management, oral and written communication skills
• Excellent interpersonal skills
• Personal qualities of integrity, credibility and discretion about confidential matters
• Proven ability to prioritize and work with a variety of stakeholders and meet deadlines
• Experience with Google Workspace, Microsoft Excel, Salesforce and database programs

Location

This position is based in our San Mateo office, and requires 2 to 3 days per week on-site.  Candidates must have local residency to be able to meet the onsite job requirements.

Compensation & Benefits

The target starting salary range for this position is $90,000 - $110,000 annually; paid hourly. The salary range is a good faith estimate of the anticipated salary expected for this position and the final offer will be based on the candidate’s skills, qualifications, and prior experience relative to the role’s requirements.
