Job Title: Program and Event Specialist
Department: Radiation Oncology
Entity: CPUP
Location: Perelman Center for Advanced Medicine-3400 Civic Center Blvd
Hours: M-F, 8-4:30 with flexibility in hours based on operational needs. Requires occasional travel and availability to work nights and weekends.
Summary:
- The Program and Events Specialist supports department-wide communications and event planning for the Department of Radiation Oncology, with a focused portfolio supporting the Penn Radiation Medicine Institute. Reporting to the Director of Global Education and Patient Programs, the position executes projects across three primary areas: (1) departmental communications and outreach, including internal communications, storytelling initiatives, and digital engagement; (2) marketing and program support for the Penn Radiation Medicine Institute; and (3) planning and coordination for departmental events and select global education and patient initiatives. Responsibilities include developing and managing content across communication platforms, supporting event logistics and promotion, and coordinating communication workflows. The Specialist conceptualizes and manages details for projects and events with strategic guidance from leadership.
Responsibilities:
- Lead content strategy and execution for department's social media page and newsletter, including content planning, creative delivery, and publishing. Track engagement and develop opportunities to improve communication for internal and external department audiences, ensuring messaging is delivered timely.
- Plan and execute events, including conference exhibiting supporting global education. Manage logistics end-to-end: invites/RSVPs, schedules, vendors, photography, shipping assets, and payments.
- Proficient in utilizing event management systems.
- Manage content for the Penn Radiation Medicine Institute (PRMI) program including website (RMI.pennmedicine.org), brochures, flyers, exhibit booth materials, PowerPoint presentations. Develop new collateral as needed. Synthesize information to create well informed and compelling content (digital and written content).
- Provide cross coverage to Global Program Coordinator and Patient Engagement Coordinator, ensuring all operations continue with related programs.
- Maintain PRMI CRM Database. Triage customer requests, schedule meetings, prepare reports and presentations. Develop, test, and implement improvement strategies to increase lead captures.
- Coordinate quarterly meetings with marketing, PR, and development partners. Prepare materials for meeting.
- Manage department marketing materials, including coordinating routine audits with subject matter experts, coordinating department photo shoots, and communication between stakeholders.
- Participating in department New Hire Orientation, helping design and facilitate experiential engagement activities that introduce PRMI & patient engagement programs
- Work independently in a fast-paced professional academic environment.
- Manage multiple tasks simultaneously and meet tight deadlines.
- Requires occasional travel and availability to work nights and weekends.
- Performs duties in accordance with Penn Medicine and entity values, policies, and procedures

Education or Equivalent Experience:
- Bachelor of Arts or Science (Required)
- Education Specialization: Marketing / Communications / Hospitality-Tourism / or other related degree
- And 2+ years Administrative (assistant/coordinator) event experience (Required)
