Position Summary

The Procurement Manager / Purchasing Manager is responsible for managing the procurement of materials, supplies, and services to support VictoGen’s operational and production needs. This role ensures timely sourcing, cost-effective purchasing, inventory accuracy, and strong vendor relationships while maintaining compliance with company policies, regulatory requirements, and material handling standards.

This position requires familiarity with GMP (Good Manufacturing Practice) materials and regulated environments, as well as the ability to develop, implement, and manage procurement-related Standard Operating Procedures (SOPs).

This role is ideal for a procurement professional with hands-on purchasing experience who understands inventory systems, vendor negotiation, regulated material handling, and material flow from receipt through storage and use.

Key Responsibilities

Procurement & Purchasing Operations

• Manage purchasing activities for raw materials, components, GMP materials, and operational supplies
• Develop and execute procurement strategies aligned with operational, regulatory, and inventory needs
• Issue purchase orders and ensure timely delivery of materials
• Monitor inventory levels to prevent shortages or excess stock
• Support cost control initiatives and supplier performance tracking

GMP & Regulatory Compliance

• Ensure procurement and handling of materials comply with Good Manufacturing Practices (GMP)
• Maintain familiarity with GMP-regulated materials, documentation requirements, certificates of analysis (COAs), lot traceability, and storage standards
• Collaborate with Quality and Operations teams to support audits, inspections, and regulatory requirements
• Ensure supplier documentation and qualification records are properly maintained

SOP Development & Process Management

• Develop, implement, and manage procurement-related Standard Operating Procedures (SOPs)
• Maintain document control, version tracking, and procedural updates in alignment with quality systems
• Train internal stakeholders on procurement procedures and compliance standards
• Continuously evaluate and improve procurement workflows to enhance efficiency and reduce risk

Vendor Management & Negotiation

• Identify, evaluate, and manage supplier relationships
• Lead vendor negotiations related to pricing, terms, lead times, and service levels
• Resolve supplier performance issues and support continuous improvement
• Maintain accurate vendor records and purchasing documentation

Inventory, Receiving & Storage Compliance

• Ensure materials are received, inspected, and stored in accordance with GMP and company requirements
• Collaborate with warehouse and operations teams to support accurate receiving and inventory tracking
• Maintain inventory accuracy using ERP/MRP or inventory management systems
• Support material traceability and documentation requirements

Quality, Compliance & Continuous Improvement

• Adhere to company policies, procedures, and applicable regulatory requirements
• Maintain accurate procurement and inventory records
• Support audits, inspections, and supplier qualification activities
• Identify opportunities to improve procurement efficiency, compliance, and cost control

Minimum Qualifications

• Education: Bachelor’s degree in Supply Chain, Business, or a related field (or equivalent experience)
• Experience: Minimum 7 years in procurement or similar experience and 3 years specific experience in purchasing or materials management experience, working with GMP materials or in a regulated manufacturing environment and creating, implementing, and managing SOPs

  • Understanding of material receiving and storage requirements
  • Strong organizational skills and attention to detail
  • Effective communication and problem-solving abilities

• Experience working with GMP materials or in a regulated manufacturing environment

Preferred Qualifications

• Experience in manufacturing, pharmaceutical, or regulated environments
• Familiarity with ERP or MRP systems
• Experience supporting audits or supplier evaluations
• Knowledge of cost control and inventory optimization strategies

• Supply chain certifications

Certifications & Training

• Professional development or supply chain certifications (CPSM, CSCP, or similar) are a plus

• Company-sponsored training provided as required

Physical & Work Environment Requirements

• Ability to stand, walk, sit, bend, reach, and move throughout the facility as needed.
• Ability to lift and carry up to 25 pounds and occasionally up to 50 pounds with assistance, as appropriate.
• Ability to work in office, manufacturing, warehouse, and/or controlled environments.
• Ability to wear required personal protective equipment (PPE).
• Ability to safely work around manufacturing equipment and operational areas.
