Principal Administrative Business Partner (Contract) Support Executive Leadership and Drive Organizational Excellence
We are seeking a highly experienced Principal Administrative Business Partner to provide strategic administrative, operational, and project support to senior leadership. This role is designed for a proactive professional who excels in complex executive support, stakeholder management, communications, meeting planning, and organizational operations.

Key Responsibilities Executive Support & Strategic Calendar Management
- Independently manage complex executive calendars across multiple time zones.
- Coordinate scheduling with senior internal and external stakeholders while maintaining the highest level of confidentiality.
- Serve as a trusted partner to leadership teams by anticipating needs and proactively resolving scheduling and operational challenges.
Meeting & Event Management
- Organize and manage senior leadership meetings, committee meetings, global summits, department offsites, town halls, and cross-functional events.
- Lead planning and execution of large-scale meetings involving multiple stakeholders across regions and time zones.
- Partner with leadership to develop agendas, coordinate meeting materials, and manage ongoing meeting cadences.
- Manage event logistics, including venue selection, speaker coordination, audiovisual requirements, catering, contract administration, and budget-related activities.
- Collaborate with event management teams to execute department-wide onsite and offsite programs.
Communications & Employee Engagement
- Draft professional communications on behalf of executives, leadership teams, and departments.
- Partner with leaders to develop and execute internal communication strategies.
- Coordinate with communications teams on engagement initiatives, messaging, and departmental updates.
- Manage internal websites, collaboration platforms, newsletters, knowledge repositories, and communication channels.
- Collect, track, and implement feedback to continuously improve communication effectiveness.
- Support employee engagement initiatives and provide recommendations to enhance team culture and collaboration.
Operational & Organizational Support
- Lead space planning initiatives, including workplace strategy, team placement recommendations, project coordination, and leadership presentations.
- Partner with leaders to develop team agreements and operational best practices.
- Serve as a key connector between internal teams and external stakeholders.
- Manage vendor relationships, speaker engagements, contracts, RFP processes, payments, and supplier selection activities.
Talent & Onboarding Support
- Coordinate complex candidate interview processes for leadership and critical roles.
- Manage onboarding logistics, including relocation support and first-30-day onboarding activities.
- Help ensure a positive and seamless candidate and employee experience.
Technology & Process Leadership
Maintain expert-level knowledge of collaboration and productivity tools, including:
Microsoft Office Suite (PowerPoint, Excel, Word)
Gmail
Google Calendar
Google Sheets
Google Slides
Trello
Google Meet
Zoom
Train and support team members on technology platforms, administrative processes, and productivity tools.
May serve as an Administrative Lead, providing guidance and support to administrative teams.
Promote continuous improvement and identify opportunities to improve efficiency, productivity, and collaboration.
Required Qualifications
- Bachelors degree (BS/BA) in a related field or equivalent industry experience.
- 5-7 years of experience in executive administration, operations, project management, or business support roles.
- Experience supporting Senior Directors, Vice Presidents, or other executive-level leaders.
- Proven ability to manage highly confidential and sensitive information.
- Demonstrated success meeting or exceeding business objectives and deadlines.
- Strong leadership, organizational, project management, and problem-solving skills.
- Ability to prioritize multiple projects and coordinate work across diverse teams and functions.
- Experience training and mentoring employees on systems, tools, and administrative processes is highly preferred.
- Prior experience within pharmaceutical, biotechnology, healthcare, or other highly regulated industries is strongly preferred.
