Position Title Preceptor Affairs Coordinator UIW Mission

Position Summary

The Preceptor Affairs Coordinator is responsible for coordinating preceptor affairs, including preceptor engagement, preceptor compensation, and other preceptor resources. Position works collaboratively with and supports the Office of Clinical Affairs in the implementation of undergraduate medical education in Phase II of the medical school curriculum, which consists of clinical rotations. The Preceptor Affairs Coordinator reports to the Director of Credentialing Services.

Job Duties

  • Coordinates preceptor engagement initiatives to include preceptor and community events, preceptor awards, etc.
  • Ensures preceptors are appropriately onboarded and oriented to their scope and resources in conjunction with the Director of Credentialing Services and Core Site Directors.
  • Assists with documents related to precepting, including verification of precepting hours.
  • Supports and monitors completion of site visits by the department.
  • Coordinates meetings with clinical sites and preceptors.
  • Collaborates with the Office of Clinical Affairs leadership to implement and refine preceptor compensation processes for clinical rotations.
  • Facilitates the completion and routing of preceptor agreements for signatures.
  • Works closely with the Clinical Administrative Support Manager and Clinical Site Coordinators to verify rotation schedules in order to complete related preceptor compensation tasks.
  • Tracks and verifies student evaluations submitted by preceptors to ensure compliance with program requirements.
  • Processes preceptor payments for clinical rotations in accordance with institutional policies and timelines.
  • Maintains accurate records of preceptor agreements, evaluations, and payments.
  • Serves as a point of contact for preceptors regarding compensation inquiries and assists in resolving discrepancies related to preceptor agreements, evaluations, and payments.
  • Collaborates with the UIW Finance and Administrative Services Offices to ensure compliance with UIW policies and procedures.
  • Prepares and provides documentation for accreditation reports related to preceptor engagement, site visits, or compensation.
  • Ensures adherence to institutional and accreditation standards and state and federal regulations.
  • Perform other duties as assigned.

Required Education

Bachelor's Degree.

Required Work Experience

Three (3) years of professional experience in program coordination/administration, or other complex relevant role.

Preferred Qualifications

  • Three (3) or more years in business administration, healthcare administration, medical education, or a related field.
  • Proficiency in use of electronic learning management systems.
  • Familiarity with contract management and compensation/ reimbursement processes is a plus.

Required Certifications, Licenses or Registrations

Must have a valid driver's license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.

Work Hours

Monday through Friday 8am to 5pm with occasional extended hours in evenings or Saturdays as needed to meet departmental goals.

Physical Demands

  • Ability to lift up to 10lbs for table set-up/tear-down at events.
  • Ability to lift up to 15lbs of office/event supplies, as well as ability to reach overhead, bend, squat to retrieve said supplies.
  • Ability to push/pull event carts/wagons holding up to 40lbs.
  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus and event venues to actively engage faculty/staff/guests/(potential/current) students, as well as attend meetings on and off campus.

In 1881 the Sisters of Charity of the Incarnate Word founded Incarnate Word College as a center of higher education for young women.
