Job Description

VERTEX is seeking a highly organized, proactive, and service-oriented Operations and Administrative Business Partner to provide dedicated support to the Visual & Strategic Communications (VSC) practice.

The Business Partner works closely with Practice Leadership to manage the day-to-day business operations of the practice, improve operational effectiveness, support financial and commercial performance, and coordinate activities across functions and geographies. The role serves as a key operational partner to Practice Leadership and as a central point of coordination between the practice and Finance, HR, Marketing, Business Development, IT, Legal, and other corporate functions.

 

Core Responsibilities

Work Product Creation, Project Management, Coordination with Team Members

  • Partner with Practice Leadership to manage the overall operations of the practice and ensure operational priorities align with strategic and business objectives.
  • Serve as a primary operational point of contact for Practice Leadership, proactively identifying issues, coordinating solutions, and ensuring follow-through on practice priorities.
  • Partner with Practice Leadership and Finance on annual budgets, expense management, resource planning, and ongoing monitoring of financial performance against budget and targets.
  • Provide dedicated administrative support to CDI practice leaders and team members.
  • Serve as a strategic administrative partner, anticipating needs and proactively managing priorities.
  • Assist with time entry, expense reporting, and other administrative processes.
  • Coordinate complex calendars, meetings, travel arrangements, and logistics.
  • Manage and maintain Salesforce data related to accounts, opportunities, pipeline, and business development activity, with responsibility for data quality, completeness, and reporting accuracy.
  • Support proposals, RFQs/RFPs, presentations, and other pursuit activities by coordinating contributors, materials, deadlines, reviews, and final submissions.
  • Prepare, format, proofread, and distribute client-ready presentations, reports, correspondence, and other business documents.
  • Track deliverables, deadlines, action items, and follow-up activities.
  • Coordinate leadership, team, and client meetings, including agenda preparation and meeting logistics.
  • Support executive and practice communications, including drafting emails, presentations, and meeting materials.
  • Partner with Marketing and Business Development on client initiatives, events, market research, practice materials, and identification of potential growth opportunities.
  • Manage or coordinate local office vendors and services, including negotiation of preferred arrangements such as corporate hotel or travel rates where appropriate.
  • Coordinate cross-functional activities involving Finance, HR, Business Development, Marketing, IT, and Practice Operations.
  • Maintain confidentiality of sensitive client, financial, personnel, and business information.
  • Support special projects, strategic initiatives, and business priorities as assigned.
  • Build and maintain effective working relationships with internal stakeholders and external partners.
  • Serve as a local liaison with HR on employee and workplace matters as appropriate, helping implement company policies and coordinating requirements specific to the local jurisdiction.
  • Build strong relationships across corporate functions and act as the connective point between the practice and centralized teams to ensure the practice receives timely, coordinated, and effective support.

Qualifications & Competencies

  • Requires a Bachelor's degree and 5 years of related experience, a Master's degree and 3 years of related experience, or 8 years of related experience and no degree.
  • Proven track record of independent work product production, project management, communication, and coordination with other team members
  • Demonstrated management skills

 

Knowledge & Skills

  • Experience in providing reliable work product review as assigned
  • Able to communicate effectively (written and verbal) with co-workers and Supervisors, and clients, subcontractors, and vendors as assigned
  • Able to provide oversight and direction to assigned staff
  • Strong communication and organizational skills
  • Strong analytical and problem-solving skills
  • Demonstrated self-awareness and flexibility in working with a variety of personalities and work styles (colleagues, clients, Assigned Managing Consultant(s))
  • Able to handle multiple priorities and perform consistently and positively under high stress conditions
  • Knowledge of computer operations and standard software packages (word processing, spreadsheets, Adobe) required

The pay range for this role is:

$70,000.00 - $190,000.00 USD annually (Geographical Tier A - Sample Locations: Irvine CA, Middlesex NJ, Tacoma WA, Boston, Alexandria) 

$64,000.00 - $174,000.00 USD annually (Geographical Tier B - Sample Locations - Baltimore, Chicago, Anchorage, Portland) 

$58,000.00 - $158,000.00 USD annually (Geographical Tier C - Sample Locations - Atlanta, Charlotte, Cincinnati, Miami)

$55,000 - $150,000.00 USD annually (Geographical Tier D - Sample Locations - Mississippi, Mobile AL, Bowling Green KY, Tulsa)
