Description

Centered Mind Counseling Services is hiring a Practice Manager to lead the operational backbone of a growing behavioral health group practice. This is a hands-on leadership role for someone who runs excellent operations, brings order and follow-through to complex logistics, and keeps leadership informed with clear, accurate communication. You will own the day-to-day systems and operations that keep the practice running smoothly.

About the Role

Reporting to the Assistant Director, the Practice Manager owns practice operations across all departments and supervises the Care Coordinators and the Medication Management Coordinator. You will operate with genuine independence and decision-making authority within operations, working inside a clear and collaborative leadership structure that defines what each role owns and where decisions are made together.

About You

You are an operations professional who finds genuine satisfaction in a practice that runs well: schedules that work, systems that talk to each other, records that are right the first time, and a front-office team that feels supported and knows what excellent looks like. You communicate in specifics, flag problems early and without spin, and would rather surface a concern than smooth it over. You know the difference between owning a decision and looping in the right people, and you are equally comfortable doing both. You want your work to matter, and at a behavioral health practice, it does: every operational detail you get right helps a clinician focus on a client.

Location

This is an on-site leadership role based in Issaquah, Washington. We are seeking a candidate who lives locally in the Seattle metro area.

Requirements

  •      Bachelor's degree in business, healthcare administration, or a related field.Minimum of 3 years of operations, office, or practice management experience, with 5 or more years preferred, ideally in a healthcare, behavioral health, or medical office setting.
  •      Demonstrated experience supervising and developing administrative or front-office staff, including time in a supervisory or lead capacity.Strong systems and technology aptitude, including practice management or electronic health record systems, and comfort coordinating IT and vendor support.
  •      Excellent organizational skills and process discipline, with a track record of following and improving established workflows rather than working around them.Clear, accurate, and transparent communication, with a habit of keeping leadership informed and bringing issues forward early.
  •      Sound judgment about scope: able to act independently within operations while coordinating with clinical and administrative leadership on decisions that cross into their areas.Familiarity with HIPAA and a strong commitment to confidentiality, compliance, and records integrity.
  •      Reliability, discretion, professionalism, and openness to feedback.Local to the Seattle metro area and able to work on-site.

    Highly Desired

  •      Experience in a behavioral health or group practice setting.Familiarity with credentialing support, payroll statistics, or CEU and compliance tracking.

    Responsibilities

  •      Supervise and support the Care Coordinators and the Medication Management Coordinator.Own front-end workflows, scheduling logistics, and day-to-day operational implementation.
  •      Coordinate employee onboarding and offboarding logistics.Manage practice systems administration, troubleshooting, and vendor communication, and implement system access in line with leadership approvals.
  •      Coordinate HIPAA and security training scheduling and delivery, and maintain training and compliance logs.Serve as a Custodian of Records and manage records release requests.
  •      Oversee office operations, maintenance, supplies, and vendor relationships.Support monthly operational reporting, associate hour tracking, payroll statistics, and CEU reimbursement review.
  •      Maintain internal workflow documentation and the employee website.Resolve administrative client escalations and operational problems, coordinating with leadership when a matter involves clinical care, provider experience, or a formal personnel process.

    Salary range: $81,000 – $90,000 per year, depending on experience. This is a full-time, salaried position.
