PRACTICE MANAGER

LOCATION

Flower Mound, TX | Onsite

COMPENSATION & SCHEDULE

• $41,600-52,000/hour, based on experience

• Monday–Friday, approximately 8:00 AM–5:00 PM; reasonable schedule flexibility may be available

• Direct hire

• Paid vacation and holidays

ROLE IMPACT

Serve as a key connection between patients, families, and clinicians in a small, patient-focused behavioral health practice serving children and young adults. This multi-skilled role combines practice operations, insurance coordination, scheduling, payment collection, patient records, and exceptional client care. Success means creating a friendly, organized, and stress-free patient experience while independently keeping day-to-day office operations running smoothly.

KEY RESPONSIBILITIES

  • Deliver professional, compassionate client service while greeting and checking patients in and out, coordinating multi-visit evaluation schedules, answering incoming calls, prescreening prospective patients, and supporting communication between patients and providers.
  • Manage insurance and payment processes, including verifying eligibility and coverage, obtaining prior authorizations as needed, providing accurate benefit information, collecting copays, coinsurance, and private-pay payments, and assisting with collections.
  • Prepare, update, and maintain accurate patient profiles, required forms, office policies, and electronic medical record (EMR) documentation while protecting HIPAA rights, confidentiality, and privacy; process authorized records requests and related communications.
  • Manage administrative operations, including outgoing calls to referral offices, patients, and insurance companies; copying, scanning, faxing, and emailing information; maintaining test kit and protocol inventory; and keeping office policies, procedures, and the practice manual current.
  • Partner closely with providers to maintain a safe, secure, organized, and compliant office environment; assist with testing or assessments when qualified and appropriate; and perform additional practice-support responsibilities as requested.

MINIMUM QUALIFICATIONS

  • 3+ years' medical or dental practice experience with the ability to independently manage priorities and day-to-day responsibilities in a small healthcare office
  • Working knowledge of healthcare insurance processes, including eligibility and benefit verification, coverage, prior authorization, payments, and claims-related issues
  • Excellent client service, communication, computer, and phone skills with an understanding of HIPAA compliance, confidentiality, professional boundaries, and appropriate patient interactions

CORE TOOLS & SYSTEMS

  • TherapyAppointment electronic medical record (EMR) system; training can be provided
  • Insurance eligibility, benefits, prior authorization, and healthcare claims portals
  • Availity, CAQH, and related healthcare portals
  • Patient scheduling and multi-appointment coordination
  • Electronic patient records and healthcare documentation

PREFERRED SKILLS

  • Bachelor’s degree in a related field, particularly for candidates qualified to assist with testing or assessments
  • Behavioral health or mental health practice experience, including experience working professionally with children, young adults, and families
  • Medicare/Medicaid, Availity, CAQH, TherapyAppointment, or similar healthcare system experience
