Skyway Behavioral Health is an innovative behavioral health center that goes beyond the treatment of psychiatric symptoms to address underlying biological, behavioral, and psychosocial causes of psychiatric disorders.  Our belief is that maladaptive coping strategies are adopted by patients for survival.  While adaptive at one time or in specific ways, these coping strategies are now preventing patients from living the life they want to live.  Our treatments teach patients new skills that enable them to serve as their own behavioral therapists- thereby helping them to maintain recovery and generalize skills to their home environments.    

At Skyway, we provide a fully immersive, intensive, whole-person experience that covers everything from neuroscience to nutrition.  We believe that the path to recovery from traumatic stress requires a focus that encompasses not just symptom management but also the treatment of underlying individual, systemic, developmental, and familial traumas. Role Description 

The Practice Manager reports to the site Medical Director and is viewed as the curator of administrative functions within the Medical department. This position operates within a dynamic clinical setting that offers PHP/IOP therapy and neuromodulation (Spravato) services. Hence, the duties of the Practice Manager include but is not limited to managing staff, supplies, implementing policies and procedures; and overseeing compliance with state and federal regulations. This individual has an unwavering dedication to professionalism and organization, as well as a strong understanding of healthcare operations in order to maximize clinic efficiency and optimize performance.

Essential Functions/Core Responsibilities 

• Manage administrative operations, efficiency, and productivity of site(s) Medical department.

• Responsible for leadership of concierge, departmental administrative, and medical support staff. 

• Provides a balanced approach of accountability, and the provision of a felt sense of purpose, meaning and value to all direct reports. 

• Manage and facilitate PTO requests, corrective actions, performance reviews (in collaboration with clinical supervisor) and offer initial resolution of grievances related to departmental personnel; seek guidance and support from HR as needed.

• Ensure all departmental administrative and medical staff are trained in their role and responsibility in accordance with SBH policy and procedure.

• Ensure all departmental staff are aware of confidentiality and HIPPA practices and provide the necessary oversight to maintain compliance.

• Provide appropriate and timely follow up to address all patient concerns by addressing directly or routing to the appropriate person in accordance with SBH policy and procedure.

• Possess a comprehensive knowledge of Skyway services and ability to effectively describe each modality to clients, serving as a liaison between clients and providers.

• Understand billing and financial agreements for all Skyway services and have an ability to offer basic support to clients in order to address general inquiries.

• Track appointments and help resolve missed encounters for each Skyway line of service.

• Maintain required inventory of medical supplies and monitor the orders and expenditures.

• Coordinates and maintains the department’s administrative and medical staff schedules to ensure adequate coverage.

• As needed fill-in for concierge and medical support staff to ensure operational function.

• Creates analytic reporting that provides insight and supports SBH’s strategic initiatives. 

• Works with administrative staff in developing systems that maximize departmental efficiency.

• Reviews and audits patient records within the EMR and other company resources to ensure departmental compliance and adherence to SBH policies and procedures. 

• Supports the organization's mission, vision, values, and strategic initiatives. 

• Develops, implements, and improves processes to ensure that established policies, goals, and objectives are achieved. 

• Maintain completion of all competencies associated with role and in accordance with Skyway Behavioral Health policies and subsequent Joint Commission standards.

• Ensures compliance with all applicable local, state, federal regulations, and guidelines. 

• Performs other duties as assigned.

 

Minimum Requirements

• 3 or more years of experience as Practice Manager or related role in a healthcare setting.

• 2 or more years of leadership experience supervising multi-disciplinary teams (exceptional leadership skills may be considered in lieu of experience requirement). 

• Bachelor’s Degree in Psychology, Healthcare Administration, Communications, or extensive direct experience in a behavioral health setting. 

• Ability to work at least one evening shift (11:30am – 7:30pm) per week to assist with neuromodulation services.

• Proficient with Microsoft products (Word, Outlook, Excel), and EHR systems.

• Exceptional organization skills, detail oriented, reliable and timely.

• Excellent interpersonal and communication skills that are clear, respectful, and considerate of other’s perspectives. 

• Must be fluent in reading, writing and speaking English.

• Work on-site and have reliable form of transportation to work.
