Power Systems Sales Administrator

Open to Locations:

Bronx, NY; Medford, NY; Poughkeepsie, NY; Newington, CT

Pay: $22-$28/hour (dependent on experience)

Bonus: 5% bonus potential

Key qualifications:

  • 2+ years of administrative, sales support, customer service, project coordination, or operational support experience
  • Experience supporting technical sales, engineering, project management, construction, industrial equipment, manufacturing, energy, power generation, or heavy equipment organization highly preferred
  • Strong organizational and time management skills with the ability to effectively manage multiple priorities in a fast-paced environment
  • Excellent written, verbal, and interpersonal communication skills
  • Demonstrated attention to detail with a high degree of accuracy in data entry, documentation, and recordkeeping
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams
  • Ability to collaborate effectively with sales, operations, engineering, project management, and customer-facing teams
  • Strong problem-solving skills and the ability to work independently while maintaining a customer-focused mindset

Responsibilities:

Successful execution of internal and external project development activities

  • Maintain communications with outside sales force regarding new and developing opportunities
  • Efficiently access, maintain, and distribute technical information to all stakeholders, as required
  • Assist with influencing and sales activities with consulting engineer, contractors, and end users
  • Assist and conduct marketing activities based on market information related to new and existing customers, applications, products, and competitors to grow the Power Systems business

Effective and efficient clerical office support for assigned sales engineers

  • Organize and document customer quotations
  • Relay messages to sales force in a timely manner
  • Provide support for incoming phone calls
  • Process customer tax certificates and credit applications
  • Process incoming and outgoing mail

Effective and timely provision of quote activity, opportunity status and market intelligence

  • Follow established guidelines for recording and maintain project activities in CRM
  • Participate in weekly opportunity meetings to report project quoting progress
  • Provide analysis of won-lost data related to activities
  • Assist with and communicate competitor technical and commercial intelligence data

Professional sales support and administrative assistance to assigned sales engineers

  • Assemble technical bid review binders
  • Assist Credit Department with collecting all past due invoices and follow up on collection of funds retained until successful project completion
  • Coordinate customer opportunities and inquiries for all H.O. Penn products, services, and new & used equipment

Qualifications

  • 2+ years of administrative, sales support, customer service, project coordination, or operational support experience

Physical Requirements:

  • Standing and/or sitting for prolonged periods of time
  • Hand coordination (typing and writing)
  • Occasional forward bending and reaching
  • Occasional walking and climbing stairs
