Minimum qualifications for this position include:

  • Graduation from high school or GED equivalent; and

  • Two years of full-time or equivalent clerical work experience; and

  • Ability to receive CJIS clearance and LEDs certification within 30 days of employment; and

  • Successfully passes a comprehensive background investigation inclusive of:

  • Comprehensive background investigation

  • Psychological examination

  • Clear drug screen (which includes testing for cannabis)

Shift Requirements:

  • The Records division maintains around-the-clock operations every day of the year (24/7). Police Records Specialists are scheduled to work four 10-hour shifts encompassing day, swing, and graveyard shifts including weekends and holidays.

  • Employees must be willing and able to work various shifts including weekends, holidays, and overtime as needed:

  • The first 6-months of training, you will work on every shift for several weeks at a time.

  • Upon successful completion of the training period, you will be assigned to a shift until the next bid. Shifts are bid by seniority for a 6-month period every March and September.

  • Typical shifts are:

  • Day Shift: between 6:00 AM - 4:30 PM or 7:00 AM - 5:30 PM

  • Swing Shift: between 12:00 PM - 10:30 PM or 4:00 PM - 2:30 AM

  • Graveyard Shift: between 8:30 PM - 7:00 AM

Other Information:

  • The City provides required uniforms.

  • Employees are expected to maintain a professional appearance in accordance with MPD Policy 1043 - Personal Appearance Standards. Please review the policy for complete requirements. Examples include:

  • Hair must be neat and professional, and hair color must be within a naturally occurring color range.

  • Tattoos and body art may be visible while on duty, subject to the location, content, and other restrictions outlined in the policy.

  • Jewelry, piercings, and other body alterations must meet Department standards and may be limited based on assignment or uniform requirements.

  • Personal conduct and behavior (on-duty and off-duty) must be such that it builds confidence in the department.

Potential Pay Differentials:

  • English/Spanish bilingual proficiency 4.5%
  • College credits up to 10% for a bachelor's degree

The anticipated hiring range for this position is $27.60 (first step) to $28.96 or $30.41 (second or third step). Directly related experience and qualifications will be evaluated alongside others who perform work of comparable character as required by Pay Equity Law. Six steps are included in this salary range, allowing opportunity for annual movement through the steps.

Examples of Job Duties

Essential Functions of the Position:

  • Performs extensive computer entry; scans and retrieves sensitive, confidential information involved in police reports into state, federal and local computer systems. (Some information and images can be graphic and possibly unsettling in nature.)
  • Files police reports and related documents; maintains organized and accurate filing systems.
  • Assists citizens with complaints, collects monies and issues receipts for various fees, releases impounded vehicles, registers sex offenders, and provides general public information, deals with diverse situations and sometimes difficult public contacts.
  • Distributes police reports to courts, public, governmental agencies and other authorized individuals, following department policy, state and federal laws.
  • Processes criminal warrants through the automated criminal justice records system; confirms warrants, ensures criminal warrants are returned to the appropriate court.

Work Environment & Physical Demands:

This position requires inside, office desk work that includes exposure to regular office noise and distractions, adequate lighting, and regulated HVAC systems in relation to temperature. This environment also includes interactions with the public.

To perform this job successfully, an individual must be able to accomplish each of the essential job functions satisfactorily. This position involves extended periods of sitting and standing, with occasional walking, crouching, bending, stooping, twisting, turning, and balancing. The employee is regularly required to operate a variety of automated office machines which include a computer, printer, copy machine, calculator, telephone, etc.
