Job Title: Dispatcher/Secretary IV - WFISD Police Department

Reports to: Chief of Police

Dept./School: WFISD Police Department/District Wide

Wage/Hour Status: Clerical 6/Nonexempt

Calendar: 239 days

Primary Purpose:

Performs under the direct supervision of the Chief of Police or designee, responds to calls for service within WFISD, coordinates needed response, services, and/or directs call to appropriate individuals. Provides clerical services to the Chief of Police and other WFISD PD members.

Qualifications:

Education/Certification:

High School Diploma or equivalent

Ability to pass an in-depth background check

Special Knowledge/Skills:

Proficient skills in keyboarding, word processing, and file maintenance.

Strong organizational skills

Considerable knowledge of general office equipment and procedures such as filing, bookkeeping, posting, and maintaining records.

Effective communication and interpersonal skills

Strong verbal and written communication skills

Experience:

Three years of secretarial experience, preferably in a public education or Law Enforcement environment

Major Responsibilities and Duties:

  • Ensures consistent delivery of excellent customer service to visitors, and other WFISD employees.
  • Responds to public inquires, receives and directs all non-emergency calls to appropriate Police personnel.
  • Prepare correspondence, forms, reports, etc., for the Chief of Police and other department staff members using a personal computer.
  • Demonstrates order, logic, consistency and neatness in the management of official records.
  • Demonstrate willingness and competency sufficient to assist supervisors with administrative tasks and reduce administrative workload.
  • Interprets reports to determine the status of case and locates and notifies the owner(s) of property; assists the public with identifying and claiming property.
  • Assists with the Property Room and Narcotics Vault inventories
  • Collates and files a variety of reports, records, information and paperwork; prepare photocopies; distribute material as appropriate; purge files.
  • Must be able to prioritize multiple assignments.
  • Conducts a verity of general reception office duties including preparing correspondence and receipt of deliveries.
  • Prepare cases to be transferred to the appropriate agency for prosecution
  • File various reports and handles incoming mail.
  • Prepare and maintain a variety of records, logs and files including information of a confidential nature; maintain confidentiality of information and records.
  • Regular attendance is required.
  • Assist with newly hired Officer(s) onboarding.
  • Work directly with WFISD Finance team in regards to purchasing, travel, etc.
  • Other assigned duties by WFISD Chief of Police.

Policy, Reports, and Law:

  • Compile, maintain, and file all physical and computerized reports, records, and other documents required.
  • Comply with policies established by federal and state law, State Board of Education rule, and the local board policy.
  • Comply with all district local policies and regulations.
