Play for P.I.N.K. supports volunteers organizing sporting and lifestyle events to benefit the Breast Cancer Research Foundation and has raised $92 million to bring about breakthroughs in detection, treatment, prevention and survivorship since its inception.

ABOUT THE BREAST CANCER RESEARCH FOUNDATION (BCRF)

ABOUT THE ROLE

Reporting to the Manager, Development & Engagement, Play for P.I.N.K., the Associate, Fundraising Operations serves a critical role in the financial reporting and data management of Play for P.I.N.K.’s strategic plan. They are an integral part of Play for P.I.N.K.’s fundraising program and partner events. This role serves as the point person for the appointed “Treasurer” of each event, tracking all revenue from all annual independent events, managing and entering all donor data into organizations CRM system.  The Associate, Fundraising Operations will have the opportunity to experience first-hand the full operations of a nonprofit organization, with a focus on fundraising and managing donations received from annual events. This position works closely with the bookkeeper, data entry specialist, and assistant director, events.

This position is based in New York, New York.  BCRF currently requires staff to work onsite a minimum of three days per week. 

Primary Responsibilities 

Banking 

  • Communicate with bookkeeper to credit funds to appropriate event
  • Deposit checks received to the office and label funds received to the online bank account
  • Communicate with bookkeeper to process invoices, refunds, and reimbursements via BillPay
  • Process credit cards as needed

Financial Tracking:

  • Review QuickBooks platform daily to accurately match donations to events
  • Manage financial wrap-up process and reporting, ensuring all donations are received for each event
  • Track any monies received through Donor Advised Funds (DAF) portals and third-party platforms
  • Track outstanding monies from clubs/events that have not deposited donations in a timely manner
  • Support and compile yearly audit documents and requirements  

Data Entry & Tax Letters:

  • Work alongside data entry specialist to ensure event-specific donor data is entered into Raiser’s Edge
  • Process tax letters for all events by maintaining clean reports from QuickBooks, Raiser’s Edge and event spreadsheets.
  • Process gift-in-kind tax letters 

Other duties

  • Manage Play for P.I.N.K. phone and email inquiries related to financial operations
  • Ensure event chairpersons have adequate resources to process all donations
  • Manage tribute donations and send weekly tribute letters when applicable
  • Replenish deposit slips, endorsement stamps, letterhead, envelopes as needed
  • Other duties as assigned 

ABOUT YOU 

You are a highly organized, detail-oriented professional who thrives in a fast-paced, mission-driven environment.  You have experience supporting fundraising operations and understand the importance of maintaining accurate donor data, streamlining processes, and ensuring operational excellence. You are comfortable working with CRM databases, managing multiple priorities, and collaborating across teams to support fundraising initiatives. You are a team player with a willingness to assist and collaborate with your colleagues. You have a passion for the mission and work of Play for P.I.N.K.

In addition, you have the following qualifications and experience:

  • Bachelor’s degree.
  • Minimum of 2-3 years’ experience working in a financial, operations or administrative role supporting a non-profit organization
  • Experience working within a non-profit environment preferred
  • Skilled in Word, Excel, PowerPoint, and Adobe Acrobat SuiteExperience with QuickBooks is a must
  • Experience using Raiser’s Edge a plus
  • Excellent organizational skills, decision-making abilities, and attention to detail
  • Ability to multi-task, manage, and prioritize multiple requests and deadlines
  • Strong project management skills, with a focus on interdepartmental collaboration
  • Enthusiasm for working as part of a team while working independently with limited supervision
  • Communicate effectively and graciously orally and in writing
  • Willing to tackle ad-hoc projects outside of assigned responsibilities
  • Ability to lift, move or carry up to 15 lbs. on an occasional basis; ability to push or pull a cart weighing up to 15 lbs.)
  • A demonstrated passion for the specific mission and values of the breast cancer nonprofit sector

Compensation and Benefits:

This is a full-time non-exempt role.  The hourly rate for this role is $28.00 – 30.00 an hour.  Our compensation packages include an exceptional benefits package focusing on employee physical, mental and financial wellness.  More specifically we offer

  • 401K, with up to a 5% match each pay period; employee contributions and any match are immediately fully vested
  • Paid parental leave offering 18 weeks 100% paid leave for a birthing parent and 12 weeks 100% paid leave for non-birthing parent
  • Paid Time Off including
    • 15 days of annual vacation time in first year of employment, increasing with length of service
    • 7 days of annual paid sick time
    • Paid holidays along with BCRF wide half days and summer Fridays
