Job Summary and Qualifications

Performs complex administrative duties and tasks relative to medical conference participation and training program outreach operations, including but not limited to; composing conference related correspondence, assisting training program outreach efforts, and coordinating resources across corporate functions. Provides general administrative support including but not limited to scheduling meetings, invoice processing, travel expense tracking, ordering office supplies, conference marketing collateral and giveaway management. Assists and supports the director physician recruitment, training program outreach specialists and other recruitment staff with activities directly related to medical conference and outreach events. 

Duties include but are not limited to:

•Works with director physician recruitment and manager physician recruitment to plan and implement conferences, team meetings, specialist meetings, meet and greets, and other events that need to be executed. Completes all registration, shipment, and ordering of supplies and exhibitor services for all conferences

•Manages conference collateral including booths, tablecloths, giveaways, flyers, etc. and works with appropriate vendors.

•Supports financial operation of department through expense reallocation, OnBase submissions and other duties as directed by training program outreach leadership

•Facilitates conference communication meetings to ensure that conference attendees are equipped with the necessary details for conference participation.

•Responsible for all post conference management including conference lead tracking, Salesforce upload and post-conference survey distribution

•Handles various administrative details with initiative and good judgment.

•Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement” incorporating regulatory compliance and data integrity into day to day recruitment operations

•Assists other staff as requested.

•Works closely with the department to perform related work as required.

EDUCATION & EXPERIENCE:

•High school diploma or GED is required. Associates or Bachelor’s degree in business administration is preferred; 3+ years related experience

KNOWLEDGE, SKILLS AND ABILITIES:

•Knowledge of general management principles

•Knowledge of organizational policies, procedures, and systems

•Ability to type 60 wpm

•Ability to work in a fast paced, high stress environment

•Strong interpersonal, communication, and organizational skills

•High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint.
