Job Description
Assist the Director for Physical Plant by performing the clerical and secretarial duties necessary to fulfill the responsibilities of the Physical Plant Department.
Essential Duties and Responsibilities
Other duties may be assigned.
Complies with approved Code of Ethics of the Education Profession and upholds and enforces rules, administrative directives and regulations, school board policies, and local, state and federal regulations.
Implements latest requirements pertaining to VISIONS and Purchase Order entries
Checks e-mail frequently during work day and responds promptly to issues related to Physical Plant operations
Prepare correspondence, memos, and reports as required to conduct office business.
Create query, report, and maintain an accurate database containing information related to professional development activities, budget, and other initiatives.
Maintain department budgets, records and files.
Coordinates with Finance Department to ensure prompt and accurate approval of Purchase Orders
Use Visions software to assist in the purchasing and requisition of materials, equipment, services and supplies and maintain a running balance of accounts; insure that invoices are paid in a timely manner.
Uses School Dude Maintenance software to enter, view, revise work orders.
Works with Deputy Director of Physical Plant in reviewing pending invoicing for aged Purchase Orders
Arrange for meetings, including locations, sign-in sheets, agendas and handouts as requested by Director for Physical Plant.
Works with computer applications to prepare reports, staff summaries, memos, letters and other correspondence.
Assists the Director for Physical Plant in coordinating the training programs of the Physical Plant department.
Maintains accurate information for OSHA, New Mexico Environmental Department, Environmental Protection Agency.
Assists the Director for Physical Plant in communication flow and task assignment coordination between the separate divisions of Physical Plant department.
Communicates with school administration when necessary about status of work orders, complaints related to Physical Plant.
Communicate effectively with department staff and other employees of the district.
Display a positive attitude towards others, duties and responsibilities.
Attend all meetings and training sessions as requested.
Use time effectively, and maintain punctuality and dependability.
Perform other duties as assigned.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); Demonstrates oral and reading proficiency in English; Demonstrates ability in secretarial/clerical skills to include word processing; Experience in secretarial/clerical work. Good communication skills, both oral and written. Good public relations skills.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before employees. Working knowledge of business English, and Spelling.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
