Aspen Careers is partnering with a well-established and expanding personal injury firm to identify an experienced Personal Injury Intake Specialist to lead its new-client intake function. This is an excellent opportunity for a personable, confident legal professional who understands personal injury cases and enjoys speaking with prospective clients, evaluating potential claims, and helping individuals take the first step toward legal representation.
This individual will serve as a key point of contact for prospective clients, handling incoming inquiries, gathering case information, assessing potential matters, and helping determine which cases are appropriate for the firm to pursue.
Job Title: Personal Injury Intake Specialist
Location: Dublin or Springfield, Ohio | In-office

- Take ownership of the firm’s new-client intake process and serve as the first point of contact for prospective personal injury clients
- Speak directly with potential clients to understand the circumstances of their injuries and gather relevant case information
- Evaluate incoming matters and identify cases that may meet the firm’s criteria for representation
- Work closely with attorneys to review prospective cases and facilitate the transition from initial inquiry to signed client
- Guide prospective clients through the intake and engagement process with professionalism, empathy, and responsiveness
- Help ensure timely follow-up on new leads and maintain accurate intake information and documentation

- Join a collaborative, supportive, and family-oriented team with a strong focus on client service
The Ideal Candidate:
- Previous experience in personal injury law, preferably in client intake, case management, paralegal work, or a similar client-facing legal role
- Strong understanding of personal injury claims and the ability to identify important facts when speaking with prospective clients
- Comfortable asking detailed questions and evaluating whether a potential matter may be a fit for the firm
- Excellent interpersonal and telephone communication skills
- Compassionate and professional approach when speaking with individuals who may be dealing with injuries or difficult circumstances
- Strong judgment, organization, and attention to detail
- Ability to manage a high volume of incoming inquiries while providing responsive follow-up
- Comfortable working independently while communicating closely with attorneys and staff
- Proficiency in Microsoft Office; Filevine experience is a plus
