Job Summary
Payroll Specialists are responsible for the day-to-day processes related to their assigned pay groups while ensuring accurate and timely pay to employees.
Core Responsibilities
- Process weekly payrolls including off-cycles for assigned pay groups with approximately 500-1000+ employees
- Daily review of timecard or time and labor system for discrepancies and communication to Supervisors as needed
- Review and edit of timesheet data as requested
- Review and process new hires, change requests and special pay during payroll processing
- Prepare reconciliations, validate totals and finalize documentation to submit for review for assigned payrolls
- Print, sort and ship payroll checks when needed
- Calculate and process final pay according to state and union requirements and regulations
- Coordinate pay garnishments, child support, lien payments, etc. with 3rd party vendor
- Work closely with HR department to ensure correct employee data
- Ensure appropriate record retention, maintain data and files for payroll processing
- Resolve payroll discrepancies by collecting and analyzing information
- Ensure timely reporting and payment to employees, while following union, state and federal regulations and company policies
- Research, analyze and resolve payroll-related problems or questions in a timely manner
- Handle detail audits of payroll data including reconciliations on a monthly/quarterly basis
- Create and distribute payroll related reports as required or requested
- Provide excellent customer service by assisting employees and managers with questions
- Maintain process and procedure documentation
- Other duties or projects as assigned or apparent
Work Experience
Minimum of 2 years of payroll processing experience.
Education/Training
High school diploma or equivalent. CPP or FPC certification highly preferred.
