    EDUCATION AND EXPERIENCE:

    High School Diploma or Equivalent

    Four years related experience and/or training; or equivalent combination of education and experience

    Bilingual Spanish preferred

    High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.

    PRIMARY PURPOSE SUMMARY:

    Processes employee voluntary deductions (excluding health, dental and life insurance) for a large volume payroll. Provide new hires with biweekly/monthly estimated salary. Analyze reports to ensure compliance with District direct deposit policy.

    ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:

    1. Updates electronic file used to set up voluntary deductions (excluding health, dental and life insurance) Responds to inquiries from employees and professional organizations to resolve discrepancies and/or update system with the correct deduction amounts. Works closely with professional organizations to maintain complete and accurate deduction registers, authorization forms, and records.

    2. Analyzes various system reports and documents to identify employees with a change of assignment or resignation and updates employee deduction record accordingly.

    3. Resolves deduction discrepancies and responds (written and/or verbal communication) to employee, third party administrator and vendor representative. Processes deduction refunds as needed.

    4. Receives payroll debit card application and updates the District business software and third-party software. Communicates with employees regarding changes/issues as needed. Updates employee's bank information in ERP.

    5. Analyzes biweekly/monthly payroll register to identify employees that are not complying with District direct deposit policy. Notifies employee and Issues pay card when required.

    6. Using data in ERP generates and distributes an estimated first year salary calculation to all District new hires.

    7. Using system reports, completes all Teacher Retirement System forms to verify all creditable service and annual salary.

    8. Analyzes payroll data and compiles salary information necessary to complete Worker's Compensation thirteen-week wage statement.

    9. Using District business software creates and maintains department metric to include items such as direct deposit participation and timecard approval.

    10. Updates and maintains Kronos Coordinator role assignment utilizing the District Point of contact application.

    11. Assists Payroll Leave Analyst with updates to employee records in ERP and time and attendance software.

    12. Sorts, indexes, and scans all documents used to process Payroll, to include but not limited to, W-4, direct deposit form, beneficiary form and Personnel Action Memorandum into employee file.

    13. Scans all payroll documents into document storage software as needed. Reviews online scanned employee file to ensure Payroll documents have been filed into the correct employee and category folder - Shreds all Payroll documents that have been scanned into imaging software.

    14. Answers incoming phone calls from District employees and staff - Responds to basic inquiries and escalates complex inquiries to the appropriate staff member for resolution.

    15. Primary backup to Customer Support Specialist.

    16. Primary backup to answer questions for weekly new hire and substitute orientation

    17. Maintains confidentiality of information.

    18. Reports to work on time every day.

    19. Performs additional duties and accepts responsibilities as may be assigned..

    QUALIFICATION REQUIREMENTS:

    • Proficient in Microsoft Office (Word and Excel)
    • Strong mathematical skills
    • Strong attention to details and critical thinking skills
    • Ability to prioritize and organize in order to meet the deadlines of a large volume payroll
    • Ability to effectively present information in large group situations to District employees
    • Valid Texas Driver's License with driving record that meets the requirements of the District

    PHYSICAL DEMANDS:

    While performing the duties of this job, the employee is frequently required to walk; sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand. The employee must occasionally lift and/or move up to 50 pounds. Specific vision required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The employee is occasionally required to drive personal vehicle in the performance of assigned tasks.

    WORK ENVIRONMENT:

    While performing the duties of this job, the employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
