    Payroll Specialist

    Location: Appleton, WI

    Position Overview

    Our client is seeking an experienced Payroll Specialist for a long-term contract opportunity in Appleton, WI. This position will be responsible for processing weekly union payroll, preparing union remittances and payroll reports, managing government tax and reporting requirements, and ensuring accurate and timely payroll processing for union employees.

    The ideal candidate will have strong payroll experience, preferably within the construction industry, with a strong understanding of union payroll processes, payroll taxes, deductions, garnishments, and compliance requirements.

    Essential Duties and Responsibilities

    • Coordinate with field management staff to collect union new hire paperwork and ensure all information is complete and accurate. Follow up on missing or incorrect information as needed.
    • Create and maintain union employee records within the ERP system, including employment data and status changes.
    • Ensure severance, termination, disciplinary actions, and other employment changes are accurately reflected in payroll and employee records.
    • Review field time entries and reports for potential errors related to hours worked, union classifications, pay classes, and per diem.
    • Follow up with site teams to resolve discrepancies prior to payroll processing.
    • Process weekly union payroll and off-cycle checks in a timely and accurate manner.
    • Import time details and validate payroll entries.
    • Verify the accurate calculation of earnings, deductions, garnishments, union liabilities, and payroll taxes.
    • Ensure paychecks are processed and distributed on schedule.
    • Prepare monthly union remittances by utilizing system reports to calculate amounts and submit payment requests.
    • Reconcile accrued liabilities with payments and match payments to labor details before remitting funds to the appropriate union funds.
    • Prepare payroll and compliance reports, verify accuracy, and resolve discrepancies.
    • Maintain accurate payroll records and support business recordkeeping and compliance activities.
    • Respond to and resolve inquiries related to union employee payroll.
    • Submit new hire reports to applicable state agencies.
    • Process child support orders, garnishments, and other court-ordered deductions as required.
    • Perform other duties as assigned.

    Qualifications

    • High School Diploma or GED required.
    • Minimum of 3 years of payroll experience required.
    • Experience processing union payroll, particularly within the construction industry, strongly preferred.
    • Experience processing construction payroll preferred.
    • Experience with Oracle or other large-scale ERP/payroll software systems preferred.
    • Strong understanding of payroll processing, taxes, deductions, garnishments, and payroll compliance.
    • Excellent organizational, problem-solving, and attention-to-detail skills.
    • Strong verbal and written communication skills.
    • Proficiency with Microsoft Office Suite.
    • Strong Excel skills, including the ability to manipulate, analyze, and reconcile data.
    • Ability to manage multiple priorities and meet strict payroll deadlines.
    • Ability to work independently while collaborating effectively with field management and other internal teams.
