The Payroll Manager leads payroll processing and payroll-related employee support for the organization. The role manages timekeeping and PTO corrections, payroll reporting, final-pay processing, PEO onboarding and priming, and ongoing payroll training. The position also tracks selected HR operational matters and supports new property setup to help ensure employee and payroll records remain accurate, timely, and ready for business needs.
· Lead end-to-end payroll processing, including the collection, review, validation, and submission of payroll data.
· Manage payroll changes and transactions, including compensation updates, bonuses, deductions, direct deposit, tax withholding, and off-cycle or corrective payments.
· Audit payroll data, research discrepancies, coordinate corrections, and confirm issues are resolved before or after payroll submission as appropriate.
· Lead separation final-pay processing and coordinate the required payroll actions for departing employees.
· Serve as the primary day-to-day contact for payroll processing questions and issue resolution with the company’s Professional Employer Organization (PEO).
· Manage timekeeping corrections, missed punches, attendance-related payroll updates, and PTO corrections.
· Lead responses to general employee and manager questions regarding the Insperity Time and Attendance (ITA) system, PTO balances, payroll timing, deductions, and pay-related matters.
· Monitor the HR inbox for payroll-related inquiries, track open items, and respond or coordinate follow-up based on urgency and ownership.
· Maintain clear supporting documentation for payroll and timekeeping changes.
· Lead weekly payroll reporting for Accounting and provide accurate supporting payroll information as requested.
· Manage bi-weekly payroll review and reporting for management.
· Manage custom payroll reporting requests for HR, Accounting, leadership, and other business partners.
· Reconcile payroll reports and supporting records and identify items requiring correction or escalation.
· Manage new hire onboarding priming in Insperity after required hiring and intake information is received.
· Enter and validate new hire information needed for payroll setup, employment records, work location, tax setup, compensation, and benefits eligibility.
· Coordinate with HR, Recruiting, hiring managers, and the PEO to resolve missing or inconsistent onboarding information before payroll deadlines.
· Confirm employees are properly established in applicable payroll and timekeeping systems.
· Lead ongoing and general payroll training for managers and employees, including payroll deadlines, timekeeping expectations, PTO processes, and common ITA questions.
· Develop and maintain payroll instructions, process documentation, checklists, and recurring communications.
· Identify recurring payroll or timekeeping issues and recommend process, communication, or control improvements.
· Track leave-of-absence portal activity, including FMLA, short-term disability, and maternity leave matters, and coordinate payroll-related follow-up with the HR owner.
· Track work authorization and visa expiration items that may affect payroll or employee status and coordinate with the HR owner as needed.
· Support new property setup by assisting with payroll, work-location, timekeeping, and employee-system requirements.
· Maintain confidentiality and appropriately escalate sensitive employee or payroll matters.
· Relevant experience managing payroll processing, payroll administration, timekeeping, or a closely related function.
· Working knowledge of payroll practices, payroll controls, deductions, final pay, timekeeping, and employee recordkeeping.
· Strong attention to detail with the ability to manage recurring deadlines, research discrepancies, and maintain accurate records.
· Strong written and verbal communication skills with a service-oriented approach to employee and manager support.
· Proficiency with Microsoft Excel and payroll, HRIS, and timekeeping systems.
· Ability to handle sensitive employee and payroll information with discretion and confidentiality.
· Experience working with a Professional Employer Organization (PEO), including Insperity onboarding and priming processes.
· Experience supporting a multi-state workforce and coordinating state-specific payroll, final-pay, timekeeping, wage and hour, and employment requirements.
· Experience preparing recurring payroll reports for Accounting and management and responding to custom reporting requests.
· Experience training managers and employees on payroll and timekeeping processes.
· Bilingual fluency in Spanish.
