Payroll Administrator – Audit & Data Integrity (Multi-Region Operations)

Location: Florida – Multi-Region Operations

This position is responsible for payroll operations across all company regions, supporting a multi-location workforce from South Florida (Miami-Dade, Broward, Palm Beach) through North Florida and the Panhandle (Tallahassee, Panama City, Pensacola).

Position Overview

We are seeking a highly detail-oriented Payroll Administrator to support payroll operations across a multi-region workforce throughout Florida. This role is responsible for ensuring accurate payroll processing, strict data integrity, and audit-ready documentation for 400+ employees across 100+ job sites. This is a high-accountability position operating in an audit-driven environment, requiring strong attention to detail, advanced data validation skills, and the ability to maintain 100% accuracy across payroll and timekeeping systems. The Payroll Administrator will work closely with Operations, HR, and Area Managers to ensure payroll data is validated, discrepancies are resolved, and all records meet compliance standards.

Operational Scope

• Supports payroll for 450+ employees across multiple regions in Florida

• Multi-location, high-volume payroll environment

• Daily coordination with Area Managers across all regions

• Responsible for maintaining data accuracy across payroll, timekeeping, and HRIS systems

• Direct exposure to internal and external audits

Key Responsibilities

Payroll Processing & Compliance

• Process payroll for a multi-site workforce, ensuring accuracy of hours, adjustments, and earnings

• Validate payroll data prior to submission, including time records, pay rates, and deductions

• Ensure compliance with federal, state, and company payroll regulations

• Manage payroll corrections, wage statements, and employee inquiries

• Support year-end processing, including W-2 review, audits, and corrections

Timekeeping & Workforce Data Validation

• Review and validate timekeeping records across all job sites

• Reconcile actual vs scheduled hours and overtime reporting

• Investigate and resolve discrepancies in time and payroll data

• Ensure alignment between timekeeping systems and payroll processing

Audit & Data Integrity

• Ensure 100% accuracy of payroll and workforce data prior to processing

• Maintain audit-ready payroll records and supporting documentation

• Support internal and external audits (payroll, HR, compliance)

• Validate consistency across payroll, timekeeping, and HRIS systems

• Identify and correct discrepancies in employee data and payroll records

• Enforce strict data validation processes to ensure Data Accuracy (DAA) standards are met

Operations Support

• Partner with Area Managers across all regions to validate time and attendance

• Ensure payroll accuracy across geographically distributed job sites

• Investigate and resolve field-reported discrepancies

• Support payroll reporting, workforce tracking, and data analysis

Requirements

  • Must reside locally in Broward or Miami-Dade County.
  • 3+ years of hands-on payroll processing experience (REQUIRED)
  • Experience processing payroll for 300+ employees (high-volume environment)
  • Experience working in an audit-driven or compliance-heavy environment
  • Proven ability to maintain high levels of data accuracy and payroll integrity
  • Experience resolving payroll discrepancies across multiple locations
  • Strong understanding of payroll validation, controls, and audit processes
  • Ability to work independently in a fast-paced, high-accountability environment
  • Bilingual (English/Spanish) – REQUIRED

Technical Skills

• Payroll systems experience (Paychex Flex preferred)

• Timekeeping systems (WinTeam/eHub preferred)

• Advanced Excel required: Pivot Tables, XLOOKUP/VLOOKUP, data validation, reporting

• Ability to support month-end and year-end payroll cycles
