    Payroll Administrator (Full Time)

    Department: All Openings, Administration, Finance & Accounting

    POSITION SUMMARY:

    Supervise and process payroll accurately and on time. Responsible for maintaining the security of the system, using software skills to keep data safe, organized and properly stored. Develops, implements, and modifies system requirements. Maintains internal database files and tables, and develops custom reports to meet the requirements of company management and staff. Provides access to those who are authorized to see the data troubleshoot problems and work with other IT professionals to make sure interface between timekeeping system and payroll software is working correctly.

    ESSENTIAL JOB FUNCTIONS:

    • Lead the weekly payroll process and ensures all payroll operations are carried out in an efficient and expedient manner. This includes ensuring that all employees are paid on time, all benefit withholdings are accurate and taxes are withheld in accordance with the laws of the applicable agencies.
    • Coordinate and resolve open issues with vendor's Help Desk / Product Support when needed.
    • Identify statutory (Federal, State and Local governments or other governing bodies) requirements and ensure the system can effectively provide the data to fulfill the requirements effectively in a timely manner.
    • Identifies processes that can be streamlined, inefficiencies, cost reductions or system improvements.
    • Accountable for the financial integrity of the payroll process.
    • Maintains ongoing development of policies and programs and bring in best practices to offer the most accurate and efficient payroll processes.
    • Identify opportunities for improvement and take the lead in advocating payroll operational priorities.
    • Analyze complex pay transactions, identify issues that exist and work with various internal operational teams to identify root cause of payroll system issues, assess risk and implement mitigation plans to minimize or eliminate future occurrence.
    • Manage a high degree of change in a fast paced, complex, and demanding environment.
    • Develop ad hoc financial and operational reporting and provide analytics and key business metrics.
    • Provide assistance to Finance in the following areas:
    • Month-end journal entries.
    • Payroll account reconciliation.
    • Provide basic support with HR/payroll systems and ensure system data interrity.
    • Administer quarterly and annual payroll statutory reporting requirements.
    • Calculate and remit quarterly payroll taxes for Florida, and other States as applicable.
    • Perform Workman's Compensation yearly audit and participate in yearly financial and 401(k) audits.
    • Prepare employee W-2 forms.
    • Perform other projects and duties as required.

    SUPERVISORY RESPONSIBILITIES:

    Responsibilities include supervision, training and assisting employees.

    QUALIFICATIONS:

    EDUCATION AND EXPERIENCE:

    Requires a Bachelor's Degree in Accounting or Finance, with at least five years of payroll/accounting experience.

    Experience with Sage HRMS Payroll and Crystal Reports is preferred. In-depth knowledge of shared data base applications, Microsoft Word and Excel, and 10 key proficiency is required. Must be able to utilize multiple systems to effectively import hours into Payroll system.

    Working knowledge of State and Federal laws that pertain to payroll related issues.

    LANGUAGE SKILLS:

    The employee must possess the ability to communicate effectively with all internal and external customers in both written and oral form.

    Overtime is required when necessary.
