Patient Service Representative II – Internal Medicine

Madison Medical is seeking a friendly, dependable Patient Service Representative II to join our Internal Medicine team in Downtown Milwaukee. This is an experienced, patient-facing position for someone who is comfortable navigating the day-to-day responsibilities of a busy medical practice while providing an excellent experience for patients.

As a Patient Service Representative II, you'll work closely with patients, physicians, and clinical staff to coordinate appointments, maintain accurate patient information, assist with insurance and prior authorizations, and help patients navigate the next steps in their care.

Your Schedule

This is a full-time position with consistent weekday hours:

Monday–Friday: 8:30 AM–5:00 PM
No weekends. No holidays.

You'll work in our Downtown Milwaukee Internal Medicine clinic as part of a collaborative physician and clinical support team.

What You'll Do

As a Patient Service Representative II, you'll be an important connection between our patients and their care team. Your responsibilities will include:

• Welcoming and assisting patients with professionalism, empathy, and excellent customer service
• Answering patient phone calls, screening calls, taking accurate messages, and routing requests appropriately
• Scheduling patient appointments and coordinating physician schedules
• Making appointment reminder calls and helping patients stay on track with their care
• Maintaining accurate patient registration and demographic information
• Verifying insurance coverage and confirming patient eligibility when needed
• Identifying and correcting registration or insurance-related errors
• Obtaining prior authorizations for medications, radiology, and other services using online systems or by phone
• Assisting patients with scheduling follow-up care, including lab work, imaging, and specialist appointments
• Accurately documenting patient communications and information in the electronic health record
• Preparing correspondence for physicians and patients
• Working closely with physicians, clinical staff, and fellow team members to help provide an excellent patient experience

What We're Looking For

PSR II is an experienced-level position. We're looking for someone who already has experience working in a medical office or healthcare setting and is comfortable handling patient service and administrative responsibilities with a high degree of accuracy and professionalism.

Required:

• High school diploma or GED
• Previous experience in a medical office, clinic, or other healthcare setting
• Experience in one or more of the following areas:
  • Patient scheduling and appointment coordination
  • Patient registration
  • Insurance verification and eligibility
  • Prior authorizations
  • Electronic health records (EHR)
  • Patient telephone communication and message management
• Strong computer and data-entry skills
• Excellent verbal and written communication skills
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities in a fast-paced medical office
• Ability to communicate professionally and comfortably with patients, physicians, and coworkers
• Ability to work both independently and collaboratively as part of a team
• Ability to appropriately handle confidential patient and medical information

Preferred:

• Experience performing multiple patient-service functions such as scheduling, registration, insurance verification, and prior authorizations
• EPIC experience

You don't need experience in every area listed above. We're looking for someone with a solid foundation in medical office operations who is ready to contribute as an experienced member of the team.
