Description

Job Overview:

Pay Range: $22hr - $34.18hr

Requirement/Must Have:

  • 3-5 years of proven customer service experience in a medical office or ambulatory care environment.
  • Knowledge of insurance coverage and authorization process.
  • Ambulatory outpatient clinic experience (preferably with Spine).
  • Patient scheduling expertise.

Responsibilities:

  • Coordinates multiple appointments across specialties, clinic preparation, customer service, heavy phone use, intake, message distribution, obtaining medical records/imaging, procedure scheduling, registration, co-pay collection, and referrals management.
  • Accurately and thoroughly enters information into computer systems.
  • Processes new referrals promptly, including obtaining required outside medical records, entering demographic information, providing medical records to the physician or multidisciplinary team for review, verifying insurance, and obtaining authorizations for visits and procedures.
  • Efficiently schedules patient evaluations and clinic appointments per physician requests, accommodating patient needs.
  • Reviews the master schedule, anticipates requirements, and adapts to changes based on activity levels to support a well-managed operational flow and ensure a positive patient experience.
  • Coordinates and schedules diagnostic testing for patients, which may include sending letters of medical necessity.
  • Assists with clerical and scheduling needs, including filing and gathering billing documentation.

  • Consistently displays courtesy, compassion, kindness, and honesty when interacting with the public, patients, and clinic personnel; greets patients in a professional manner.
  • Serves as a single point of contact for patients and caregivers, taking accountability for their care experience.
  • Completes financial risk assessments and, as indicated, advises patients/families on insurance benefits and alternative funding sources.
  • Prepares estimates of patient liabilities for patients, physicians, and insurance companies, including copayments, deductibles, coinsurance, deposits, and prior balances as required.
  • Facilitates communication between patients, caregivers, and care team members (physicians, nurses, lab, etc.), ensuring all changes in case or patient information are communicated to all relevant parties.
  • Adheres to policies designed to protect patient confidentiality.
  • Assists Support Coordinator I in resolving complex customer service issues.
  • Demonstrates flexibility by covering for staff during sick time, vacations, or leaves of absence.
  • Maintains open communication with management and colleagues, consistently displaying a professional demeanor.

Nice to Have:

  • Bilingual (Spanish preferred).
  • Surgery scheduling experience.
  • Cerner experience.
  • Knowledge of medical terminology.

Education and Experience:

  • High school diploma or equivalent (Bachelor's degree preferred).
  • Clean, professional appearance.
