Summary
The
Part-Time
Special
Services
Secretary
provides
administrative
and
clerical
support
to
the
Child
Study
Team
(CST)
and
Special
Programs.
This
role
ensures
smooth
departmental
operations
through
accurate
data
entry,
compliance
tracking,
record
management,
and
communication
across
district
programs.
Key
Responsibilities
Data
Entry
&
System
Management:
Input
and
track
evaluations,
assessments,
testing
accommodations,
and
related
services
(ESY
&
RSY)
in
process-tracking
systems.
Utilize
Frontline
to
generate
district
letters
and
reports.
Student
Record
&
Classification
Management:
Label,
resort,
and
create
IEP
files
for
incoming
9th-grade
students.
File
assessment
protocols,
process
progress
reports
(Nov,
Feb,
May),
and
maintain
student
classification
folders.
Archives
&
Transfers:
Maintain
active
and
archived
student
classification
records
by
graduation
year.
Track,
process,
and
archive
transfer
records
for
students
who
withdraw
or
are
declassified.
Special
Programs
Support:
and
distribute
Goals
&
Objectives
for
received
students
in
Special
Programs
(Park,
LLD,
RISE).
Manage
attendance
records
in
Genesis
and
send
data
to
receiving
schools.
Out-of-District
Attendance
&
Reporting:
Collect
and
process
monthly
attendance
reports
from
out-of-district
schools
to
support
end-of-year
data
collection.
Assist
with
state
reporting
and
official
mailings.
Physician
&
Service
Provider
Coordination:
Contact
Board-approved
physicians
to
schedule
evaluation
appointments.
Track
appointments,
reports,
and
invoices,
and
distribute
service
contract
letters
for
Board
approval.
Communication
&
Scheduling:
Coordinate
Annual
Review
notifications
with
receiving
schools
as
scheduled
by
case
managers.
Handle
requests
for
records,
return
of
records,
acceptance
letters,
registrations,
and
general
department
mailings.
Qualifications
&
Skills
Experience
with
administrative
processes
in
a
school
or
special
education
environment
is
preferred.
Proficiency
with
student
information
and
management
systems
(e.g.,
Frontline,
Genesis,
Docs,
spreadsheets).
Strong
organizational
skills
and
attention
to
detail
when
managing
sensitive
student
records.
Ability
to
handle
confidential
data
in
compliance
with
educational
privacy
regulations.
