Company is helping an on-demand, autonomous ride-hailing company find an Events Manager & Office Administrator to oversee its Seattle office and create a seamless, welcoming workplace experience for employees and visitors.
In this role, you'll serve as the go-to resource for office operations, facilities coordination, employee engagement, and onsite support. You'll ensure the workplace remains organized, well-equipped, and operationally effective while coordinating events, employee programs, vendors, and other activities that contribute to a positive office experience.
The ideal candidate is a highly organized and service-oriented workplace professional who can operate independently and manage competing priorities in a fast-paced environment. You're a proactive problem solver and strong communicator who enjoys creating an engaging workplace while ensuring the details behind day-to-day office operations run smoothly.
As an Events Manager & Office Administrator, you'll:
  • Own day-to-day office operations, conducting regular walkthroughs and coordinating with building management, Facilities, IT, and external vendors to maintain a clean, safe, organized, and functional workplace.
  • Manage office, kitchen, and facilities supplies, including inventory, ordering, restocking, mail, packages, and deliveries.
  • Plan, budget, and execute onsite events and employee engagement activities, including holiday celebrations, social gatherings, team-building activities, and company-wide initiatives.
  • Coordinate onsite workplace programs, including daily meals, snacks, beverage services, and other employee amenities.
  • Serve as a primary resource for employees, gathering feedback, communicating office updates, and maintaining accurate internal office documentation and site-specific resources.
  • Support new hire onboarding, key meetings, company broadcasts, and other onsite activities by coordinating logistics, technology, and workplace needs.
  • Manage the office budget, track expenses, and provide ad hoc administrative support to leadership.
  • Partner with leadership and Facilities on space planning and anticipated headcount needs.
Ideal candidate profile
We'd Love to Hear From You If You Have: 2-5+ years of experience in office management, workplace operations, or a similar role, ideally within a high-growth tech environment. A proven track record of delivering excellent employee-facing service with strong attention to detail, even in high-demand situations. Strong organizational and time management skills, with the ability to manage multiple tasks, handle shifting priorities, and work independently. Excellent written and verbal communication skills and the ability to build strong relationships with internal partners, leadership, and external vendors. Experience managing vendors, coordinating events, and overseeing day-to-day facilities operations with a proactive, solution-oriented approach. Proficiency with Google Workspace.

In this role, you will be the go-to person for all things related to office operations, employee engagement, and on-site support. You will play a critical part in shaping our office culture by ensuring our spaces are welcoming, well-maintained, and operationally excellent. This position requires a high degree of autonomy, strong communication skills, and the ability to manage competing priorities in a fast-paced environment.

What You'll Do: Workplace Operations: Own the day-to-day operations of the office, conducting regular walkthroughs to ensure a clean, safe, and organized environment. Manage all office, kitchen, and facilities supplies by monitoring stock levels, overseeing inventory, and handling all ordering and restocking. Act as the primary point of contact for facilities and IT issues, submitting and monitoring tickets to ensure timely resolution. Coordinate with building management and external vendors for repairs, maintenance, cleaning, and other on-site services. Handle all mail and deliveries, including receiving and distributing packages to the appropriate teams or individuals. Partner with cross-functional teams (IT, HR, Facilities, Food program, etc.) to provide on-the-ground support and ensure seamless office operations.

Support and coordinate on-site programs, including daily meals, snacks, and beverage services. Help create a lively and inclusive work culture by decorating for holidays and supporting company-wide engagement initiatives. Serve as a key resource for employees, gathering feedback and relaying important information about the office to staff. Manage and update internal office documentation, such as wiki pages and site specific intranet pages, to keep information current and accessible. Administrative & Strategic Support: Manage the office budget, track expenses, and support leadership with ad-hoc administrative requests. Facilitate new hire onboarding and orientation for the local office. Partner with leadership and the facilities team to assist with space planning and future headcount needs. Provide support for key meetings and broadcasts, ensuring technology and logistics run smoothly.
