Overview
We are seeking a dependable and organized Office Assistant to support daily office operations and provide administrative assistance across departments. This part-time position (24 hours per week) requires excellent customer service, attention to detail, and the ability to work both independently and as part of a team.
Responsibilities
Reception and Front Desk Support
Open and close the building's main entrance
Answer and direct incoming calls
Greet visitors and issue temporary badges, key cards, and parking validations
Maintain reception coverage and a professional front desk environment
Office Operations and Administrative Support
Sort and distribute mail and faxes
Maintain staff directories, bulletin boards, and library journal subscriptions
Schedule company vehicles, parking passes, equipment use, and vendor visits
Process invoices and maintain filing systems
Supply and Facility Management
Monitor and stock office, conference room, and kitchen supplies
Organize supply areas and maintain conference room readiness
Replenish copy paper, coordinate copier repairs, and recycle toner cartridges
Perform basic maintenance of office coffee machines
General Administrative Assistance
Provide administrative support including photocopying, data entry, filing, document preparation, and spreadsheet maintenance
Assist with special events, departmental projects, and office communications
Collaborate with team members to ensure continuous reception coverage and project completion
Qualifications
High school diploma or equivalent required; some college coursework preferred
Minimum two years of office or administrative experience
Proficiency with Microsoft Office, including Word
Strong customer service, communication, and organizational skills
Ability to manage multiple priorities, work independently, and contribute effectively as part of a team
Compensation
$22.55 to $31.35 per hour
