
Part-Time Business Operations Assistant

About the Position
Hardwick General Contracting is a luxury custom homebuilder and renovation company serving Central Florida. We are seeking a dependable, detail-oriented individual interested in gaining hands-on experience across business operations, technology, administration, marketing, and business development.
You will work directly with our operations team as we implement a new custom ERP system and improve how we manage vendor information, compliance, leads, marketing, and day-to-day business processes.
This is a varied, hands-on position rather than solely a receptionist or data-entry role. As you develop your skills and demonstrate your abilities, you may have opportunities to take on additional responsibilities in other areas of the business.
What You'll Do
Office & Administrative Support
- Answer incoming calls professionally and route messages to the appropriate team member.
- Coordinate day-to-day office needs, including ordering supplies, maintaining office inventory, and arranging team lunches and meetings.
- Assist with correspondence, research, special projects, and other administrative needs.
- Maintain accurate and organized electronic records.
- Communicate professionally with vendors, trade partners, clients, and other business contacts.
ERP, Data & Vendor Management
- Contact vendors and trade partners to collect missing company, contact, project, and account information.
- Enter, update, and maintain vendor, trade, project, and business information in our custom ERP system.
- Review existing records for missing, duplicate, or inconsistent information.
- Help test, document, and improve new ERP workflows as the system is developed.
- Conduct research needed to complete or verify company and project records.
Invoice & Compliance Support
- Review incoming invoices for potential duplicates, missing information, and obvious discrepancies before accounting review.
- Request, verify, and track Certificates of Insurance (COIs), W-9s, and other required vendor documentation.
- Follow up professionally with vendors and trade partners when information is missing.
- Maintain organized documentation to support compliance and audit readiness.
Marketing & Lead Support
- Enter and maintain prospective-client and lead information.
- Assist with lead research and follow-up using established company processes.
- Track lead activity and help ensure follow-up items are completed.
- Assist with organizing project photos, awards information, and marketing content.
- Support social media and marketing efforts by researching content opportunities and helping prepare information for posts and campaigns.
- Assist with company events, awards submissions, marketing initiatives, and other business-development projects.

- Experience with ERP, CRM, accounting, or construction software is helpful but not required.
Relevant Education or Experience
Coursework, education, or experience in the following areas may be helpful but is not required:
- Business Administration

- Communications or Public Relations
- Previous office, customer service, administrative, marketing, sales, or social media experience is helpful but not required.

Schedule, Compensation & Location
Employment Type: Part-time, W-2 employee
Hours: Approximately 15-20 hours per week
Schedule: Generally 4-6 hour blocks, 3-5 days per week during normal weekday business hours. We can accommodate a consistent recurring schedule.
Location: Maitland, Florida. This is an in-office position.
Compensation: $18-$22 per hour, depending on experience.
