Accounts Payable / Accounts Receivable Representative - Must-Have Requirements
- High school diploma or GED.
- Previous Accounts Payable and Accounts Receivable experience.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Strong organizational skills and attention to detail.
- Excellent communication and customer service skills.
- Ability to manage multiple priorities in a fast-paced office environment.
- Reliable attendance and the flexibility to work additional hours when needed.
Accounts Payable / Accounts Receivable Representative - Position Summary
We are seeking a detail-oriented Accounts Payable / Accounts Receivable Representative to support daily accounting and transportation operations. This position is responsible for processing invoices, managing customer billing, ensuring timely carrier payments, maintaining accurate financial records, and communicating with carriers, customers, and internal departments. The ideal candidate is organized, accurate, and thrives in a collaborative office environment.
Accounts Payable / Accounts Receivable Representative - Essential Duties & Responsibilities
- Process accounts payable and accounts receivable transactions accurately and timely.
- Verify carrier invoices, proof of delivery documents, and shipment paperwork.
- Approve carrier payments and coordinate with the finance department.
- Prepare and send customer invoices.
- Resolve payment inquiries from carriers and customers.
- Maintain accurate financial records and generate receivable reports for management.
- Schedule pickup and delivery appointments by phone, email, or customer portals.
- Assist with tracking and tracing freight shipments as needed.
- Answer incoming phone calls and direct inquiries appropriately.
- Provide administrative support to the Operations Manager and assist with additional business-related tasks.
- Maintain confidentiality of financial and customer information.
- Follow company policies and procedures while ensuring accuracy in all work.
Accounts Payable / Accounts Receivable Representative - Additional Qualifications
- Bachelor's degree in Business, Supply Chain, Accounting, or a related field is preferred.
- Experience with Transportation Management Systems (TMS) is a plus.
- Strong time management and problem-solving skills.
- Ability to work independently and as part of a team.
- Comfortable working at a computer for extended periods.
- Professional demeanor with the ability to communicate effectively with customers, carriers, and internal departments.
