Events Manager Job Description | Angelicum

POSITION SUMMARY

As part of the Mission Advancement Office at the Angelicum, the Events Manager will be responsible for the development and execution of the University's parish missions program, as well as its growing portfolio of donor-facing events in the United States and Rome.

Reports to: Chief Advancement Officer

RESPONSIBILITIES:

Working with the rest of the advancement team, help parish missions and other advancement office events become excellent experiences for guests and reliable sources of new benefactors and improved donor loyalty among existing supporters.

Be highly communicative with outside help, especially benefactors hosting meet and greets and travel agencies or groups interested in booking for our Roman events.

Help coordinate research on, and follow-up with, high-priority contacts and donors met through events.

Collaborate on mass communications follow up for parish missions and larger events.

Help create a "culture of philanthropy” among friars and others involved in putting on Angelicum events, encouraging clarity about the ultimate purpose of advancement office events.

Successfully manage Parish Missions program under guidance of lead friar.

Recruit new parishes to host Angelicum friars for parish missions.

Revise existing, or create new, collateral materials and letter and email templates making the case to parishes to host parish missions.

Clearly share scope of parish missions (program and content, costs, logistics, dates, expectations, collections), review standard parish mission MOU and speaker agreement with parish.

Follow up with parishes to schedule missions and close the deal.

Coordination and relations with parishes in the lead up to and following the missions.

In months and weeks leading up to parish mission communicate with parishes to adequately prepare for events.

During parish missions be available to coordinate last minute logistics or emergencies.

Follow up with parishes to receive payment, donations, and feedback.

Properly steward parish relationship through timely thank you/acknowledgment and professional closing out of engagement.

Maintain good relationship with parish leadership, as necessary, for the possibility of an invitation to return for a second mission.

Manage relationships with friars who will preach the missions.

Work closely with Fr. Benedict Croell, director of parish missions.

Work with Fr. Corwin Low to steward a stable bullpen of friars who can be counted on to preach parish missions.

Assist in onboarding all new friars with adequate training and preparation for parish missions.

Provide clear guidance and logistical support to friars leading up to and during each parish mission.

Ensure friars take photos to provide images for follow up emails.

Parish mission follow up.

Collect reimbursement receipts from friars, obtain approval from Angelicum administration for parish mission expenses, coordinate with Controller at International Dominican Foundation to issue reimbursements, and close out all financials on each parish mission.

Follow up with parishes to receive donations and reimbursements.

Input new contacts into database and research those that are strong leads for higher levels of support.

In coordination with advancement team, draft follow up communications and establish follow up communication plan and schedule.

Successfully organize other regular Angelicum Events:

Meet and Greets

Work with individual benefactors to help them host small gatherings at their home, both after parish missions and at other times during the year.

Identify potential meet and greet hosts, in coordination with other advancement team members, and inquire about interest and willingness to host.

NYC Aquinas Lecture and other regional donor dinners

Organize large annual lecture and dinner event in NYC.

Expand annual lineup of regional dinners, including new annual South Carolina dinner.

Work with relevant friends and outside vendors.

Send invitations and track RSVP's in a timely manner.

America Week

Help coordinate Angelicum events, including annual dinner and concert in Angelicum garden/cloister, during America Week.

Build relationships with other America Week actors to establish Angelicum events as essential part of America Week experience.

Angelicum Fellowship

Help organize two annual study weeks for large benefactors in Rome.

Get invites out in a timely manner and follow up to secure commitments.

Coordinate with colleagues in Rome to arrange meeting spaces, friars to give talks.

Coordinate with outside vendors for coordinating group meals and excursions.

GENERAL REQUIREMENTS

Attention to detail

Highly communicative

Must understand and be in alignment with the mission of the Dominicans and of theological education in a pontifical university context

GOALS

Increase the number of parish missions per year to 15+, securing $300k+ of revenue from parish missions annually.

Arrange 12+ meet and greets per year that gain the Angelicum at least $10,000 each.

Keep attendance at NYC Aquinas Lecture consistently at 500+ for the lecture and 100+ for the dinner.

Keep attendance at America Week dinner at Angelicum at 150+ per year.

Provide an excellent study week for Angelicum Fellowship benefactors at the spring and fall sessions, driving attendance to 12+ per session.
