Job Summary
Voltage is seeking a detail-orientedOrder Processing Specialistto manage customer purchase orders from receipt through validation, ERP entry, and handoff to Project Management and Operations.
This role works closely with Sales, Project Management, Engineering, Finance, Legal, and Operations to ensure orders are accurate, complete, properly approved, and processed on time.
Key Responsibilities
- Receive, review, and validatecustomer purchase ordersagainst quotations, contracts, pricing, and approved commercial terms.
- Confirm order details, including products, quantities, pricing, delivery dates, payment terms, shipping information, and customer requirements.
- Identify discrepancies or missing information and coordinate with internal teams to resolve issues before order release.
- Accurately enter and maintain customer orders inSAP or other ERP systems.
- Verify order accuracy and maintain supporting documentation and approval records.
- Coordinate cross-functional order reviews withSales, Project Management, Engineering, Finance, Legal, and Operations.
- Process purchase order revisions andchange orders, ensuring required approvals are completed before updating the ERP system.
- Track orders from receipt through final release and escalate delays or outstanding requirements.
- Provide Project Management with complete order documentation and communicate customer commitments or special requirements.
- Maintain accurate order records and support process improvements that increase efficiency and first-time accuracy.
Qualifications
- Associate's or Bachelor's degree inBusiness Administration, Supply Chain, Operations, Logistics, Finance, or a related field preferred. Relevant professional experience may be considered.
- 2+ years of experiencein order processing, sales operations, customer service, project coordination, supply chain, logistics, or a related role preferred.
- Experience in amanufacturing, industrial, project-based, or supply chain environmentpreferred.
- Experience withSAP or another ERP systemstrongly preferred.
- Proficiency in Microsoft Excel, Outlook, and Word.
- Ability to interpret purchase orders, quotations, commercial documentation, and customer requirements.
- Strong attention to detail, organization, follow-up, and communication skills.
- Ability to manage multiple orders and priorities in a fast-paced environment.
Work Environment
This position involves prolonged periods of computer work and occasional time in a manufacturing environment. Must be able to occasionally lift up to 20 pounds and wear required PPE while on the production floor.
