Order Management Specialist

Position Overview
We are seeking an Order Management Specialist to support customer fulfillment and supply chain operations by managing sales orders, coordinating with internal departments, and ensuring timely product delivery. This role serves as a key point of contact between customers, sales partners, and internal teams to resolve order issues, communicate inventory updates, and maintain exceptional service levels. The ideal candidate will have strong communication skills, excellent attention to detail, and the ability to analyze inventory and order data to support efficient supply chain operations. This individual must be comfortable prioritizing competing requests and collaborating across multiple departments to ensure customer expectations are met.
Key Responsibilities
- Manage orders daily, including manual order entry and review of electronically submitted orders for accuracy.
- Support and manage multiple broker accounts while maintaining strong professional relationships.
- Communicate order updates, inventory shortages, and potential delays to brokers and internal teams.
- Process order changes and modifications requested by brokers in a timely manner.
- Monitor open orders and past scheduled ship dates to ensure timely movement and fulfillment.
- Partner with internal departments, including Traffic and Returns, to resolve shipment, delivery, and product-related issues.
- Coordinate shipment tracking, expediting requests, and delivery resolutions as needed.
- Assist with new customer account setup and maintain accurate customer billing and shipping information.
- Process return-related requests, including product overages, damages, and customer invoicing.
- Utilize reporting tools and inventory systems to analyze product availability and support order fulfillment decisions.
- Maintain a high level of customer service through proactive communication and issue resolution.
Qualifications
- Bachelor’s degree preferred, or 3–5 years of experience in customer service, order management, sales support, or supply chain operations.
- Strong customer service background with experience managing customer accounts or supporting sales teams.
- Experience with order entry, data management, and coordinating fulfillment activities.
- Excellent verbal and written communication skills with the ability to confidently communicate over the phone and email.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Positive, professional attitude with a customer-first mindset.
- Proven history of stability and longevity with previous employers.
- Proficiency with Microsoft Office Suite, especially Excel.
- Experience with Oracle R12 applications (EBS, ASCP, OTM) preferred.
