An Ophthalmology Practice Manager oversees the daily business operations, administrative workflows, and clinical staffing of an eye care clinic. This specialized healthcare role balances business metrics with patient care, coordinating between ophthalmologists, technicians, and administrative staff
Key Responsibilities
1. Daily Clinic Operations & Patient Flow
Supervise front-office staff, ophthalmic technicians, and surgery coordinators. (Hands on approach; ability to jump-in and help process patients when needed)
Optimize daily scheduling to balance physician productivity with patient waiting times.
Resolve patient complaints and service bottlenecks efficiently to preserve high satisfaction rates.
Oversee medical chart handling, electronic health records (EHR) entry, and integration of modern digital workflows.
3. Staffing and Leadership
Recruit, onboard, train, and mentor administrative and technical support staff.
Evaluate and deliver performance appraisals
Develop staff schedules and run recurring team alignment meetings.
Foster a collaborative environment between the medical staff (Ophthalmologists/Optometrists) and operational teams.
Accountability & Compliance: Address performance gaps and manage the corrective action process when team standards are not met.
4. Regulatory Compliance & Quality Assurance
Act as the primary compliance officer, enforcing HIPAA, OSHA, and OIG guidelines.
Ensure all clinical equipment maintenance records are current and that protocols meet healthcare facility standards
Manage front-end revenue cycles, ensuring clean collection of copays, outstanding balances, and accurate data entry.
Collaborate with the Ophthalmic Billing & Coding Team to prevent claim denials and ensure compliant coding for specialized eye procedures (e.g., cataract surgeries, injections, diagnostic scans).
Track inventory, procure medical and optical supplies, and evaluate practice profitability metrics.
Required Skills & Qualifications
Experience: Minimum 2-3 years of healthcare management experience, (within ophthalmology or optometry clinics preferred)
Education: Bachelor’s degree in healthcare administration, Business, or a related field (extensive clinical management experience may be considered in lieu of a degree).
Industry Knowledge: Deep understanding of ophthalmic workflows, premium IOL counseling, surgery scheduling authorizations, and medical insurance knowledge
Technical Skills: Proficiency with modern Practice Management (PM) systems, Electronic Health Records (EHR), and Microsoft Products
Soft Skills: Strong problem-solving capabilities, building effective teams, clear communication, and leadership under pressure.

Compensation & Benefits Base Salary Range: $70,000 – $85,000 / year (Exempt)
Individual starting salary within this range is determined based on a variety of factors, including:
Industry Experience: Direct experience managing an ophthalmology or optometry clinic vs. general healthcare administration.
Technical Skills: Familiarity with ophthalmic EHR/PM software (ModMed EMA Preferred)
Certifications: Preference and a higher starting tier given to candidates holding a Certified Ophthalmic Executive (COE) or Certified Medical Manager (CMM) credential.
Clinical Flexibility: Prior background as an ophthalmic tech (COA/COT) who can assist the clinical floor during bottlenecks and/or Surgery Coordinator
