A phone operator/ intake specialist manages incoming and outgoing calls, routes messages, and serves as the main voice of the firm. Entry level position at law firm with ability to advance and grow with company.
Operator
Call Routing: Answer multi-line phone systems and transfer calls to the correct staff or departments.
Customer Service : Greet callers politely, answer basic questions, and provide company information.
Message Taking: notating accurate messages and send them to the right people.
Emergency Support: Handle urgent calls, page staff over intercoms, or contact emergency teams when needed.
Clerical Tasks: Log call details and perform basic computer work.
The Intake Specialist is the primary point of contact for prospective clients, screening incoming inquiries, gathering initial case details, and determining whether a case fits the firm's practice areas.
Core Responsibilities:
First Contact: Answer incoming phone calls, web leads, and emails from prospective clients with professionalism and empathy.
Case Screening: Interview callers to collect essential facts, dates, and background information to evaluate if the claim matches the firm's criteria.
Scheduling: Coordinate with staff calendars to book initial consultations or meetings in person or virtually.
Communication: Clear, polite verbal and written communication skills to talk to distressed or stressed callers.
Empathy: Ability to show compassion while keeping the interview focused and structured.
Organization: Strong multi-tasking skills to handle high call volumes and manage follow-up tasks.
Data Entry: Record detailed notes and client contact information accurately into the firm's case management software.
Onboarding: Send retainer agreements, collect initial paperwork, and help transition qualified leads into active clients
Required Qualifications:
Bilingual in Spanish required
Full Time in office Monday – Friday 8-5
Valid Driver LicenseRealiable means of transportation
Education: A high school diploma or GED.
Communication: Clear speaking voice, good listening skills, and polite phone manners.
Technical Skills: Ability to use computers, multi-line switchboards, and basic office software.
Soft Skills: Patience, multitasking, and the ability to stay calm under pressur
