Operations Specialist

The University of New Mexico's Project ECHO has an amazing opportunity for an Operations Specialist to join our Community Peer Education Project (CPEP) and Behavioral Health Peer Initiatives team! The individual in this role will provide dedicated oversight of operational functions to ensure the efficient execution of program activities. The Operations Specialist will coordinate cross-program projects, maintain operational systems, support evaluation and reporting needs, facilitate logistical planning, and contribute to continuous quality improvement.

As a successful Operations Specialist, your responsibilities will include:

• Developing operational processes to support recurring program activities, including Community Peer Educator onboarding, workforce development initiatives, Peer Collaborative ECHO sessions, workshops, professional development trainings, outreach events, and the annual Peer Leadership Summit.
• Preparing and maintaining program data related to participant engagement, trainings, workshops, ECHO sessions, outreach activities, workforce development initiatives, referrals, and program outcomes. Collaborating with Program Specialists and Data Analyst to ensure data integrity, accuracy, and consistency.
• Preparing and maintaining performance metrics, evaluation tools, and quality improvement processes to support program decision-making.
• Maintaining operational tracking systems, controlled program documents, operational procedures, templates, and resource materials to ensure program consistency.
• Organizing onboarding and offboarding processes including account creation, access requests, equipment tracking, and other required documentation.
• Coordinating operational expenditures that pertain to the grant deliverables, purchasing requests, travel documentation, and reimbursement processes in collaboration with Finance and program leadership.
• Working closely with Program Manager and Program Specialist(s) to ensure ECHO sessions run smoothly, including: teleconference set up, preparation of agendas and case presentations, coordinating recruitment interviews, and ensuring ECHO session attendance.
• Collecting and analyzing all ECHO sessions evaluations and workshop data and ensuring all data and statistics are captured in all project databases for the creation of regular reports and proof of project functionality and best practices.
• Overseeing Confluence system across programs, ensuring timelines, deliverables, and project milestones are completed in accordance with program goals and funding requirements.
• Collaborating with Project ECHO teams including Finance, Grants, Communications, IT, Evaluation, and Administration and external collaborators to coordinate operational needs.
• Identifying opportunities to streamline processes, developing operational resources, and contributing to the sustainability and growth of the programs.
• Providing and developing processes for monitoring grant requirements and operational expenditures to ensure compliance with University, funding, and program requirements.
