About Heartland Roadshow

Founded in 2009, Heartland Roadshow is one of the nation's leading buyers of jewelry, coins, precious metals, antiques, collectibles, and other valuables through buying events held across the United States.

As we continue to grow, we're looking for an Operations Project Manager to partner closely with our COO and executive leadership team to drive execution across the organization. This is a highly visible role focused on driving execution, improving processes, and partnering with executive leadership. While the role includes project management responsibilities, it is not an IT project management position.

Position Overview

The Operations Project Manager serves as an operational partner to the COO, ensuring projects, initiatives, and key priorities move forward. You'll attend leadership meetings, capture action items, coordinate follow-up, and proactively keep teams accountable for deliverables.

Success in this role comes from taking ownership, anticipating needs, and keeping multiple projects organized with minimal direction. The ideal candidate thrives in a fast-paced, entrepreneurial environment, enjoys solving problems, and naturally creates organization from complexity.

While the title includes "Project Manager," this is not an IT project management position. This role focuses on business operations, cross-functional coordination, and driving organizational initiatives from discussion to execution in partnership with executive leadership.

Project Management (50%)

  • Oversee and coordinate cross-functional projects from planning through completion
  • Attend and collaborate at leadership meetings, document action items, and drive follow-through
  • Track project timelines, deliverables, milestones, and overall status

  • Identify roadblocks, conduct needs analyses, and help resolve issues before they impact deadlines
  • Maintain project dashboards and provide executive status updates
  • Recommend and implement process improvements that increase efficiency and organizational effectiveness

Operations Coordination (35%)

  • Oversee and coordinate company-wide operational initiatives across departments
  • Develop, document, and maintain Standard Operating Procedures (SOPs) and process documentation
  • Collaborate on recruiting, onboarding, and other cross-functional operational initiatives
  • Conduct business research and prepare executive reports, presentations, and supporting documentation
  • Manage vendor relationships and coordinate special projects

Executive Partnership (15%)

  • Manage strategic scheduling and executive priorities as needed
  • Organize leadership meetings, agendas, and supporting materials
  • Prepare reports, presentations, and executive communications
  • Handle confidential business information with professionalism and discretion

What You'll Own

  • Turning leadership discussions into action
  • Keeping projects on schedule through consistent follow-up
  • Prioritizing competing initiatives and ensuring accountability
  • Providing visibility into project status, risks, and deadlines
  • Improving processes that help the organization scale

Qualifications

Required

  • 5+ years of experience in an operations project management, business operations, Chief of Staff, program management, or similar role with demonstrated success independently managing complex business initiatives, influencing stakeholders, and driving execution without direct authority.
  • Experience managing multiple concurrent projects and competing priorities
  • Strong organizational, communication, and problem-solving skills
  • Ability to work independently, prioritize effectively, and exercise sound judgment
  • Exceptional attention to detail and follow-through

Preferred

  • Experience working with executive leadership in a high-growth or entrepreneurial environment
  • Background in business operations, PMO, or Chief of Staff functions
  • Experience leading process improvement initiatives

Technical Skills

Required

  • Microsoft Office Suite (Excel, PowerPoint, Outlook)
  • Google Workspace

What Success Looks Like

  • Projects and initiatives stay on track with minimal executive oversight.
  • Leadership meetings result in clear action items, accountability, and follow-through.
  • Stakeholders remain informed, engaged, and accountable for deliverables.
  • Executive leadership has clear visibility into project status, priorities, and potential risks.
  • Processes become more organized, efficient, and scalable.
  • The COO remains focused on strategic priorities while day-to-day execution continues seamlessly.
