JOB SUMMARY
The Fiber Engineering & Operations Specialist is responsible for managing division purchasing, invoice tracking, payroll support, and day-to-day office
workflows. This role serves as an operational and analytical anchor, ensuring accurate financial administration, maintaining local inventory, and
leveraging data tools to optimize processes and reporting.
DUTIES & RESPONSIBILITIES
- Solicit quotes and RFPs for Communications & IT Operations departments as requested.
- Generate requisitions and execute purchases for miscellaneous items, including office supplies, breakroom amenities, and kitchen stock.
- Audit, monitor, and report on floater credit card expenditures.
- Conduct compliance and logic checks on purchase requests, escalating irregularities to leadership.
- Manage and monitor inventory levels for equipment spares and parts.
- Track, process, and reconcile vendor invoices for software/hardware leases, licenses, telecom accounts, and printer maintenance.
- Process and track Cost of Goods Sold invoices.
- Maintain master tracking spreadsheets for departmental expenses and assist in drafting budget projections.
- Administer weekly and backup payroll workflows, distributing weekly payroll reports to leadership.
- Issue asset tags for corporate equipment.
- Maintain operational dashboards and reports utilizing PowerBI and Microsoft Excel.
- Engage in process improvement initiatives, utilizing journey mapping to identify and eliminate workflow inefficiencies.
EDUCATION & EXPERIENCE
- Bachelor's degree in Business Administration, Operations Management, Finance, or equivalent experience.
- 3-5 years of experience working in business operations, office management, procurement, or a related administrative support role.
- Proficiency in Microsoft Excel and experience developing data visualizations in PowerBI.
- Proficiency in data interpretation and workflow documentation.
CERTIFICATIONS & OTHER REQUIREMENTS
- Possess and maintain a current, valid driver's license in state of residence and demonstrate safe and responsible operation of motor vehicles.
- Effective interpersonal, organizational, and communication skills.
- Exceptional attention to detail, time management, problem solving, and change management capabilities.
- Received a "Meets Expectations" or higher overall rating on last annual performance appraisal and no disciplinary actions (verbal or written) during previous appraisal period'
