    Position Overview
    The Operations Lead plays a key role in ensuring the seamless execution of projects from post-sale through generator startup. This position works in close collaboration with the Install Manager to create a streamlined, efficient, and repeatable installation process—with the goal of achieving a one-day installation wherever possible.
    High levels of organization, communication, and coordination are essential to ensure customer satisfaction and regulatory compliance throughout the installation lifecycle.
    Core Responsibilities
    1. Project Coordination & Process Optimization
    • Partner with the Sales and Install Manager to develop a structured and efficient installation program.
    • Oversee the full job lifecycle from sales handoff to project completion.
    • Work toward consistent, repeatable processes that ensure high customer satisfaction and operational efficiency.
    2. Permit Management
    • Responsible for securing permits, including:
      • Gathering all necessary installation details.
      • Applying via Connecticut town-specific portals.
      • Ensuring compliance with local Electrical, Plumbing, Zoning, Wetlands, and Building requirements.
    • Follow up regularly to remove obstacles that could delay installations.
    • Collaborate with the bookkeeper to process and mail checks for permit applications.
    3. Customer Communication
    • Provide proactive communication to customers about installation timelines and expectations.
    • Make live phone calls and send emails ahead of scheduled installations.
    • Clearly communicate the next steps and requirements before work begins.
    4. System & Record Management
    • Maintain up-to-date records within the FieldEdge system, including:
      • Permit status
      • Work order notes
      • Inspection schedules
      • Job tags as status changes
    • Create and manage customer folders and install work orders. Ensure that photos job plans and other documentation is in the customer folders (One drive and Field Edge)
    Daily Tasks & Responsibilities
    • Follow up and complete Permits in progress
    • Execute FieldEdge workflows (e.g., updating customer job status and tags).
    • Support the sales team by collaborating daily on any job-specific customer requirements.
    • Create and manage:
      • Customer folders- labeled
      • Installation work orders
      • Permit applications via local town portals
    • Track permit progress and communicate updates in debrief and in install meetings
    • Complete zoning forms, setbacks, and GIS drawings as needed.
    • Apply for permits, submit required documentation, and confirm license information for the following subcontractors
      • Electrical
      • Plumbing
      • Building
    • Communicate and coordinate with the Ledge Light Health District, as applicable.
    • Work with the bookkeeper to process municipal payments and permit-related fees.(G.O.D. accounting)
    • Choose subcontractors based on job scope, availability, and location.
      • Note they need to be sent the job plan and photos 2 weeks in advance so planning is key
    • Schedule:
      • Electricians and plumbers for day of installation
      • Inspectors for late in same day if possible
      • Gas test and final inspections
      • Generator start-up appointments (when one-day installation is not possible)
    • Manage equipment and generator inventory, including:
      • Updating FieldEdge Work Orders
      • Preparing inventory sheets
      • Reporting low stock levels
    Weekly & Ongoing Responsibilities
    • Participate in daily debriefs via email and weekly scrum meetings with the installation team.
    • Continuous update:
      • Permit statuses (building, electrical, plumbing)
      • Work orders in FieldEdge with specific details (Example time of inspection)
      • Tags
      • Customer Types
      • Customer communication logs
    • Communicate with subcontractors and the Install Manager about inspection scheduling.
    • The escalating process challenges promptly for resolution.
    Additional Duties
    • Maintain and update an Operations Checklist identifying unique permitting requirements specific to each town.
    • Escalate complex or nonstandard jobs to the owner, sales team and Install Manager.
    • Participate in yard activities (e.g., receiving generator equipment, using forklifts).
    • Contribute to project-based initiatives and time-blocked task planning.
    • Refer new sales leads when appropriate.
