Description

The Operations Manager owns the day-to-day operational engine for the partner leading the firm's largest team across its designated offices. The role keeps the lead attorney's broad operational and marketing efforts on track, serves as the first responder for client and agent service issues, manages staff and workload, and runs the team's operational cadence. Its firm-wide dimension comes through the AI-assisted reporting and operations systems the role operates and, over time, helps extend to other offices.

Key Responsibilities

Executive operations support. Partners closely with the lead attorney of the firm's largest team to keep their broad operational and marketing efforts on track across the team's offices — coordinating priorities, following through on commitments, and keeping initiatives moving.

Service escalation and recovery. Serves as the immediate escalation point for concerns and complaints from real estate agents, buyers, and sellers. Owns service recovery end to end: acknowledges the issue, coordinates the fix, and follows up so nothing is dropped and problems surface early rather than late.

Staff and workload management. Manages the day-to-day work of the staff — delegating and dividing work evenly, helping determine which attorneys handle which closings, balancing coverage, and ensuring the team's workload is distributed fairly and sustainably.

Operational cadence. Owns the team's huddle and internal-meeting rhythm, coverage scheduling, and the operational inputs to reporting and governance — keeping the team organized and running on a predictable beat.

AI-assisted operations and reporting systems (firm-wide). Operates and stewards the team's AI-assisted reporting — the daily exception briefing and the reports that drive it — built on the firm's Power BI platform. This is where the role broadens beyond the team: the Operations Manager helps standardize these systems and ensure attorneys in other offices have the AI-assisted tools they need, extending additional systems across the firm over time. This role operates, stewards, and helps deploy them.

Required Qualifications

•  Demonstrated operations-management experience, ideally in a professional-services, real estate, title, or legal-services environment.

•  Proven ability to manage staff and balance workloads across a team, and to make sound day-to-day assignment and coverage decisions.

•  Strong client-service instincts and experience owning service recovery with demanding, relationship-driven clients.

•  Comfort operating within a data- and reporting-driven process, including AI-assisted tools; Power BI familiarity is a plus (building expertise is not required — the role operates the systems, it does not build them).

•  The maturity and confidence to partner with, and help direct the priorities of, a senior attorney with a broad mandate.

•  Highly organized, process-oriented, and able to standardize what works across multiple offices.
