Position SummaryThe Operations and Inventory Coordinator plays a critical role in the successful operation of the Our Closet program by overseeing warehouse activities, inventory management, donation processing, volunteer coordination, and logistical support for clothing distribution initiatives. This position is responsible for ensuring donated clothing and related items are received, sorted, organized, stored, tracked, and distributed efficiently to support Our Closet pop-up shops, crisis clothing requests, reentry initiatives, small closets, and other program services.In this role, the coordinator maintains a safe, organized, and efficient warehouse environment, coordinates inventory preparation for community distribution events, supports volunteer engagement activities, and ensures program resources are readily available to meet client needs. This position works closely with the Community Relations Coordinator and Events & Logistics Coordinator to ensure seamless coordination across program operations, inventory, community sites and distribution events. dignified access to clothing and essential resources for vulnerable members of the community.Essential Duties and ResponsibilitiesWarehouse Operations and Inventory ManagementOversee daily warehouse operations to ensure efficient workflow, organization, cleanliness, and safety.Manage inventory processes including receiving, sorting, categorizing, organizing, storing, packing, tracking, and distributing donated clothing and related items.Maintain accurate inventory systems and processes to support program operations and reporting needs.Monitor inventory trends and anticipate program needs to support adequate clothing and supply levels for upcoming pop-ups, Small Closets, crisis requests, reentry services, and other program activities.Ensure donated items meet quality standards and are properly processed for distribution.Organize warehouse space to maximize efficiency, accessibility, and safety.Coordinate the preparation and packing of inventory for pop-up shops, crisis clothing requests, reentry packages, small closets, and other program initiatives.Conduct periodic inventory counts and assist with inventory audits and reconciliation activities.Maintain supplies, equipment, storage areas, and warehouse resources necessary for program operations.Donation Processing and LogisticsReceive, inspect, sort, and process incoming donations from individuals, businesses, schools, faith communities, and partner organizations.Coordinate donation drop-offs and pickups as assigned.Ensure timely processing and distribution of donated goods.Assist with loading, unloading, transporting, and organizing donations, supplies, and equipment.Coordinate logistics related to inventory transportation between the warehouse, pop-up locations, offices, and community partner sites.Develop and manage delivery routes for crisis clothing packages, coordinating delivery schedules and logistics to ensure packages are delivered efficiently and in a timely manner.Maintain records related to donations, inventory movement, and distribution activities.Volunteer Coordination and EngagementRecruit, schedule, supervise, and support volunteers participating in warehouse operations and sorting projects.Provide volunteer orientation, training, and ongoing guidance related to warehouse processes and safety procedures.Lead volunteer sorting events and service projects.Assign volunteer tasks and monitor productivity and workflow.Foster a positive volunteer experience through effective communication, engagement, and recognition.Ensure volunteers adhere to warehouse safety standards and program procedures.Program Support ServicesPrepare crisis clothing packages, reentry clothing packages, and other client-focused distributions in accordance with program guidelines.Coordinate with the Community Relations Coordinator to monitor and fulfill inventory needs for Small Closets, including preparing and transporting restocking inventory as needed.Coordinate the preparation of inventory and supplies needed for pop-up shops, small closets, and community distribution events.Support program staff in meeting urgent clothing requests and special client needs.Assist with maintaining quality standards for all items distributed through program services.Collaborate with program staff to ensure warehouse operations align with overall program priorities and client needs.Data Tracking and Administrative ResponsibilitiesMaintain accurate records regarding inventory, donations, distributions, volunteer activities, and warehouse operations.Enter and manage data within agency databases, tracking systems, and reporting platforms.Assist with collecting and reporting program metrics, inventory statistics, donation activity, and volunteer engagement data.Respond promptly and professionally to inquiries from donors, volunteers, staff, and community partners.Complete required reports, documentation, and administrative tasks within established timelines.Maintain confidentiality of client, donor, volunteer, and agency information.Agency ParticipationParticipate in Our Closet, JFCS, and community events as assigned.Adhere to all agency policies, procedures, safety requirements, and applicable regulations.Participate in warehouse safety training and operational meetings.Perform other duties and special projects as assigned.Core learn and utilize inventory tracking systems, agency databases, and reporting platforms.Experience using spreadsheets and inventory management tools preferred.Qualifications and RequirementsEducation and ExperienceHigh school diploma or GED required.Associate degree or coursework in logistics, business, inventory management, nonprofit management, operations, or a related field preferred.Minimum of two (2) years of successful work experience required.Experience in warehouse operations, inventory management, logistics coordination, retail operations, or supply chain support preferred.Experience coordinating volunteers and managing inventory systems strongly preferred.Background and Compliance RequirementsMust successfully complete criminal, child abuse, and FBI clearances as required by agency policy.Must comply with all JFCS policies, procedures, safety standards, and confidentiality requirements.Transportation RequirementsMust possess a valid driver's license, reliable transportation, and an acceptable driving record in accordance with JFCS driving policies.Travel is required between the Springfield warehouse, Bala Cynwyd offices, Philadelphia program locations, and community partner sites.Ability to operate agency vehicles, if applicable and approved, preferred.Technology RequirementsMust be comfortable utilizing computers, tablets, smartphones, agency databases, Microsoft 365 applications, inventory systems, and electronic communication platforms.Schedule RequirementsMust be able to maintain a flexible schedule to accommodate warehouse operations and program needs.Occasional evening and weekend work may be required to support donation drives, volunteer projects, inventory initiatives, and special events.Physical RequirementsThe physical demands described here are representative of those necessary to successfully perform the essential functions of this position.Frequently lift, carry, push, pull, move, and load donated clothing, inventory, supplies, and materials weighing up to 40 pounds without assistance.Ability to bend, stoop, reach overhead, kneel, climb ladders, and perform repetitive physical tasks.Ability to stand and walk for extended periods while performing warehouse activities.Ability to load and unload donations, inventory, and supplies from vehicles.Ability to safely operate pallet jacks, rolling racks,
