PEP Housing has been building community from the heart since 1978. We build and manage affordable housing for seniors living on fixed, limited incomes. Our residents live independently in a beautiful, safe place while aging with the grace and dignity deserved by all. With 23 properties, over 650 residents and projects under construction, we keep busy!
 
Position Summary:
The Operations Coordinator provides administrative, operational, and analytical support to the Regional Portfolio Manager across a portfolio of affordable housing communities. This role coordinates projects, prepares reports and performance metrics, tracks operational and compliance deadlines, supports Community Managers, and provides onsite Community Manager coverage when needed. The Operations Coordinator helps ensure efficient portfolio operations through effective communication, organization, project coordination, and follow-through while maintaining professionalism, confidentiality, and accountability. This position requires regular travel throughout the assigned portfolio to support onsite operations, conduct property visits, participate in inspections, and provide Community Manager coverage as needed.
 
Principal Duties and Responsibilities:
  • Provide administrative and operational support to the Regional Portfolio Manager.
  • Coordinate meetings, prepare agendas, record meeting minutes, distribute follow-up materials, and track action items through completion.
  • Maintain calendars, electronic files, documentation, and property records.
  • Coordinate communication between managers, site teams, vendors, and corporate departments.
  • Assist with special projects and portfolio-wide initiatives.
  • Collect, prepare, analyze, and distribute operational reports and dashboards, including:
    • Occupancy and vacancy reporting
    • Leasing activity
    • Delinquency and aged receivables
    • Move-ins and move-outs
    • Budget variance tracking
    • Work order metrics
    • Staffing vacancies
    • Unit turn status
    • KPI dashboards
  • Prepare resident correspondence, notices, forms, and marketing materials.
  • Coordinate document requests and maintain standardized forms.
  • Order office supplies and track vendor documentation.
  • Follow up on invoices and operational requests.
  • Coordinate onboarding activities and employee training.
  • Provide onsite Community Manager coverage during absences, vacancies, or other business needs.
  • Support property compliance efforts by:
    • Tracking regulatory and operational deadlines.
    • Assisting with preparation for REAC, MOR, and other property inspections.
    • Coordinate file requests and documentation needed for audits and reviews.
    • Monitoring completion of corrective action items assigned to site teams.
    • Partnering with the Compliance Manager during audits and inspections as requested by the Regional Portfolio Manager.
    • Maintaining compliance tracking reports and inspection of readiness documentation.
  • Coordinate and monitor initiatives, including:
    • Capital improvement projects.
    • Unit turn schedules.
    • Preventive maintenance initiatives and vendor scheduling with the Regional Facilities Manager.
    • Property, insurance, fire, elevator, and other regulatory inspections.
  • Maintain professional, confidential, and objective interactions and working relationships with all staff.

Education, Skills and Experience:

  • Associate's or Bachelor's degree in Business Administration, Public Administration, or a related field preferred, or an equivalent combination of education and experience.
  • Two or more years of experience supporting property management operations, portfolio administration, or housing operations.
  • Affordable housing or multifamily property management experience preferred.
  • Exceptional organizational and project coordination skills.
  • Strong analytical skills with the ability to interpret operational data and identify trends.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Strong attention to detail and follow-through.
  • Ability to work independently with minimal supervision.
  • Professional judgment, discretion, and confidentiality.
  • Customer-focused with strong relationship-building skills.
  • Advanced Microsoft Office Suite: (Excel, Word, Outlook, Teams, and PowerPoint), Adobe Acrobat, SharePoint, Yardi Voyager preferred.
  • Experience with property management software such as MRI, RealPage, or Boston Post is a plus.
