Job PurposeThe Operations Coordinator serves as a key point of contact for North Dakota Farmers Union (NDFU), providing exceptional customer service to members, cooperatives, visitors, and staff. This position serves as the welcoming front door of NDFU by managing reception, telephone calls, mail, and other day-to-day office needs with professionalism, responsiveness, and a helpful attitude. The Operations Coordinator also provides technical, administrative, and operational support to cooperatives and cooperative associations across North Dakota, helping ensure they have the materials, resources, and assistance needed to effectively serve their members. This includes coordinating materials and handouts, preparing and assembling meeting materials and agendas, processing cooperative dues and other check-offs, and responding to routine requests and questions. Working collaboratively with NDFU teams and other NDFU Coordinators, this position provides flexible office support that helps keep programs, projects, events, and daily operations running smoothly. The Operations Coordinator builds positive relationships, anticipates needs, and represents NDFU with a strong commitment to service, cooperation, and the mission of supporting and strengthening cooperatives, communities, and the people they serve. Key ResponsibilitiesServe as a welcoming and professional first point of contact for NDFU by answering and directing telephone calls, greeting and assisting visitors, receiving and distributing mail and deliveries, and responding to general inquiries.Provide exceptional customer service to NDFU members, cooperative leaders, visitors, vendors, staff, and other stakeholders by responding promptly, resolving routine questions, and connecting individuals with the appropriate NDFU team or resource.Provide administrative and technical support to cooperative associations across North Dakota, including preparing and assembling agendas and meeting materials, coordinating mailings, and completing other requested support.Receive, process, and accurately record cooperative check-offs and other member-related transactions, ensuring information is handled appropriately and in a timely manner.Provide administrative and logistical support for NDFU programs, events, meetings, and projects, including registration, preparation of materials, communications, and other operational needs.Provide direct member support across NDFU departments, including assisting with event registration, NDFU membership, the member portal, cooperative check-offs, and other routine member needs.Work with the Marketing and Communications team to produce and prepare materials using approved templates, NDFU brand standards, and established processes.Coordinate large-scale mailings and distribution projects for cooperatives and NDFU departments, ensuring materials are accurate, organized, and delivered according to established timelines.Collaborate with NDFU Coordinators and staff across departments to coordinate shared administrative responsibilities, prioritize requests, and ensure consistent and efficient service.Maintain accurate records, files, procedures, and other information necessary to support daily operations and ensure continuity of service.Follow established procedures for data security, confidentiality, document handling, and the appropriate use of NDFU systems and information.Identify opportunities to improve administrative processes, customer service, and operational efficiency and communicate recommendations to appropriate staff.Represent NDFU in a professional, helpful, and service-oriented manner and promote a positive experience for members, cooperatives, visitors, and colleagues.Perform other duties and responsibilities as assigned in support of NDFU's mission and organizational needs. Knowledge, Skills, and AbilitiesProficient in Adobe InDesign, Adobe Photo Shop, and Microsoft Office (Teams, Outlook, Word, Excel, etc.) Organized and detail oriented, able to work well under deadlines in a changing environment and perform multiple tasks effectively and concurrentlyDecisiveness and good judgment to address pressing project matters when time is limitedProblem-solving abilities to correct any challenges or inefficiencies for the best resultsExcellent communication skills (written and verbal) Education and Experience Required2-year degree or a high school diploma with 3-5 years of office experience preferred. Work LocationThis is an in-office position and is located at the NDFU Home Office in Jamestown, ND. Limited flexible work schedule available.
